Position Summary
This position provides sales, customer service and operational support to Westcor's agency sales team and customers. The individual will serve as an important link between agency customers, sales representatives and internal production teams, helping to ensure timely service, accurate communication and a positive customer experience. The successful candidate will be highly organized, responsive, proactive and comfortable managing multiple priorities in a fast-paced sales and service environment.
Essential Functions:
  • Serve as a primary contact for agency customers regarding title searches, order status, production questions, and service needs.
  • Coordinate and track title search requests, ensuring timely completion and resolution of issues.
  • Communicate with internal teams, vendors, abstractors, and examiners to obtain updates and resolve customer concerns.
  • Provide administrative and operational support to assigned sales representatives.
  • Assist with prospect research, account preparation, customer information, and meeting materials.
  • Prepare and maintain customer, production, revenue, and sales activity reports.
  • Monitor customer activity, ordering trends, and sales opportunities, including opportunities to increase wallet share.
  • Maintain accurate customer, prospect, and sales information in CRM and other company systems.
  • Coordinate customer follow-up, onboarding, and sales-related communications and initiatives.
  • Build strong relationships with customers and serve as a resource for navigating Westcor's systems and processes.
  • Identify service issues, trends, and opportunities to improve efficiency and the customer experience.
  • Develop and maintain tracking tools, workflows, and processes to improve visibility and follow-up.
  • Collaborate with Sales, Operations, Search, Underwriting, and other departments to resolve issues.
  • Maintain accurate records and handle confidential information appropriately.

Qualifications:
  • Experience in customer service, sales support, operations, or administrative support.
  • Proficiency in Microsoft Excel, Word, Outlook, Teams, and other Microsoft applications.
  • Strong organizational, time management, and multitasking skills.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong attention to detail and ability to work independently in a fast-paced environment.
  • Ability to analyze information, identify trends, and recommend process improvements.

Education / Experience:
  • High School diploma or equivalent required.
  • Minimum of 1-2 years of relevant experience.
  • Experience in the real estate, mortgage, title insurance, or related industry preferred.
