About the Opportunity

As a Community Associate, you'll be the primary point of contact for the Community and act as the "face" of WeWork! You will report to your building each day to support the Community Management team. Your work, which will include but not be limited to the duties listed below, will help WeWork to achieve the following:

  • Build a welcoming and collaborative community environment amongst our members through events and building relationships between members!

  • Ensure that your building is fully operational and processes are running efficiently.

  • Drive growth and promotion of WeWork-provided service offerings.

  • Take direction from the Community Lead and the Community Manager to support the Community Team as necessary.

  • All of this while illustrating WeWork's core values and working towards achieving our mission.

In this role, you'll:

Front Desk Management:

  • Cover the front desk during the building's set business hours and be an on-site point of contact, easily located on the member floor or at Community Bar.

  • Greet members and guests with a warm and welcoming demeanor.

  • Ensure all visiting guests are in accordance with WeWork's guest policy by ensuring all guests properly sign-in via Welkio iPad.

  • Learn the names of members and guests with the goal of building relationships in order to facilitate the sense of community that WeWork is known for.

  • Anticipate member and guest needs before they arise using relevant information collected about members to enhance and personalize their experience.

  • Ensure building specific forms are up to date including pet forms, filming requests, bike room requests, etc.

  • Keep the front desk clean and organized.

  • Notify members of any food deliveries and couriers.

  • Answer any questions from members and guests related to the building including way-finding, policies and procedures, community etiquette, etc.

Events and Membership Engagement:

  • Provide feedback on programming types (based on member makeup) and evaluate events based on attendance, satisfaction, and impact on the appropriate event team.

  • Consistently celebrate members' successes and milestones through gifts and notes.

  • Distribute all necessary info to promote the event including creation and posting of weekly events poster and individual event posters.

  • Ensure building-specific operational requirements are met for each event (elevators, HVAC, etc).

  • Input notes into Kube or an equivalent system about members.

  • Identify and execute opportunities to connect members with each other.

  • Know and recommend local restaurants, food delivery services, catering options, team outing venues, post office, shipping center, supply store, etc.

  • Be active on the WeWork member network to engage members.

  • Know and explain WeWork policies and procedures and communicate, inform, and update members on building issues.

  • Ensure music levels and activations are appropriate to the daypart and occasion.

  • Write and send broadcasts relating to building updates.

Building Operations and Management:

  • Receive, process, sort, and organize all mail.

  • Locate and issue posts via the regional system to members upon request.

  • Keep the mailroom organized and clean.

  • "Return to Sender" for unidentified mail and former member mail after 30 days of no-pick up.

  • Ensure courier parcels have all the correct details for scheduled pick-ups.

  • Investigate, escalate, and resolve 'lost' packages.

  • Know and explain WeWork policies and procedures around mail and mailroom.

  • Track, audit, and organize keys collected and distributed.

  • Manage keycard stock and request new inventory as needed.

  • Collect keys and key cards upon move-out.

  • Review location and how to use each piece of emergency equipment.

  • Provide support for an automated coffee machine for guests and members.

About You

We'd love to hear from you if you meet the qualifications below:

  • College graduate with a four-year degree preferred, but not required.

  • Customer service and/or sales experience a plus.

  • Must have strong verbal and written communication skills.

  • Outstanding interpersonal and multitasking skills.

  • Demonstrate integrity, dependability, responsibility, accountability, self-awareness, work ethic, and compassion.

  • Passion for entrepreneurial communities.

  • Passion and understanding of WeWork's mission and values.

  • Proficient in basic computer skills.

Compensation & Benefits

Base Pay: $51,000 to $54,000 CAD

Incentive Compensation: WeWork employees are eligible to participate in an incentive plan specific to their role. Your recruiter will detail what incentive plan is applicable to this specific role. WeWork incentive plans are subject to the terms of the applicable incentive compensation plan, which will be made available to you after commencing employment. WeWork reserves the right to amend its incentive plans, and nothing in this job requisition or any other document creates a right to a specific incentive plan payment.


Benefits: Full-time employees are eligible for comprehensive benefits (subject to the terms of applicable plans/policies/agreements, which will be made available to you after commencing employment), including: 20 days of PTO, approximately 13 paid holidays, and 80 hours of paid sick time per full calendar year; 16 weeks paid parental leave; competitive healthcare benefits; 401k plan; and life and AD&D insurance.

Dans ce role, vous aurez les responsabilites suivantes :

Gestion de l'accueil :

  • Assurer l'accueil pendant les heures d'ouverture de l'edifice et etre une personne-ressource sur place, facile a trouver a l'etage des membres ou a la reception.

  • Saluer les membres et les invites avec une attitude chaleureuse et accueillante.

  • Veiller a ce que tous les invites en visite soient en accord avec la politique des invites de WeWork en vous assurant que tous les invites s'inscrivent comme il se doit via l'iPad Welkio.

  • Apprendre le nom des membres et des invites afin de creer des liens et de favoriser le sentiment de communaute qui fait la reputation de WeWork.

  • Anticiper les besoins des membres et des invites avant qu'ils ne se presentent en utilisant les renseignements pertinents recueillis sur les membres pour ameliorer et personnaliser leur experience.

  • Veiller a ce que les formulaires propres a chaque edifice soient a jour, notamment les formulaires sur les animaux de compagnie, les demandes de tournage, les demandes concernant la salle des velos, etc.

  • Maintenir la reception propre et organisee.

  • Aviser les membres de toute livraison de nourriture et de tout service de messagerie.

  • Repondre a toutes les questions des membres et des invites concernant l'edifice, y compris l'orientation, les politiques et les procedures, l'etiquette de la communaute, etc.

Evenements et mobilisation des membres :

  • Donner une retroaction sur les types de programmes (en fonction de la composition des membres) et evaluer les evenements en fonction de la frequentation, de la satisfaction et de leur incidence sur l'equipe responsable des evenements.

  • Celebrer constamment les reussites et les etapes importantes des membres par des cadeaux et des notes.

  • Distribuer tous les renseignements necessaires a la promotion de l'evenement, y compris la creation et la pose de l'affiche hebdomadaire des evenements et des affiches individuelles des evenements.

  • Veiller a ce que les exigences operationnelles propres a l'edifice soient respectees pour chaque evenement (ascenseurs, chauffage, ventilation, climatisation, etc.).

  • Saisir des notes sur les membres dans Spacestation ou un systeme equivalent.

  • Determiner et saisir les occasions de creer des liens entre les membres.

  • Connaitre et recommander les restaurants locaux, les services de livraison de nourriture, les options de restauration, les lieux de sortie d'equipe, le bureau de poste, le centre d'expedition, le magasin de fournitures, etc.

  • Connaitre et expliquer les politiques et les procedures de WeWork, et communiquer avec les membres, les informer et les tenir au courant des problemes concernant l'edifice.

  • Vous assurer que les niveaux de musique et les activations sont adaptes a la journee et a l'occasion.

  • Rediger et envoyer des messages de diffusion concernant les mises a jour de l'edifice.

Exploitation et gestion des edifices :

  • Recevoir, traiter, trier et organiser tout le courrier.

  • Trouver et distribuer le courrier aux membres qui en font la demande a l'aide du systeme regional.

  • Garder la salle du courrier organisee et propre.

  • Retourner a l'expediteur le courrier non identifie et le courrier des anciens membres apres 30 jours sans ramassage.

  • Vous assurer que les colis des services de messagerie ont tous les details exacts pour les ramassages prevus.

  • Rechercher, signaler et resoudre les cas de colis perdus .

  • Connaitre et expliquer les politiques et les procedures de WeWork concernant le courrier et la salle du courrier.

  • Assurer le suivi, la verification et l'organisation des cles recueillies et distribuees.

  • Gerer la reserve de cartes-cles et demander un nouvel inventaire, le cas echeant.

  • Recueillir les cles et les cartes-cles au moment du demenagement.

  • Verifier l'emplacement et le mode d'utilisation de chaque equipement d'urgence.

  • Assurer le fonctionnement d'une machine a cafe automatisee pour les invites et les membres.

  • Un diplome universitaire de quatre ans est preferable, mais pas obligatoire.

  • Une experience dans le domaine du service a la clientele ou de la vente est un atout.
