    Harbor Capital is looking for a Property Management Coordinator to serve as the operational backbone of our asset management function across a fast-growing portfolio of industrial properties in Texas. The Coordinator makes sure nothing falls through the cracks: leases get filed in the right place, financials arrive on time, construction documentation stays current, and every deliverable is buttoned up before it's needed.


    The role is broad by design. In a given week you might be organizing acquisition files ahead of a close, chasing down a property manager for an overdue rent roll, updating a construction milestone tracker, or taking notes in an asset management meeting and following up until every action item is closed out. We need someone who is highly organized, naturally proactive, and comfortable working across teams and with external partners, from property managers to brokers to vendors.


    You should bring prior commercial real estate experience and a track record of keeping complex, detail-heavy work organized under deadline pressure. You will report to our Senior Portfolio Property Manager and work closely with Asset Management, Acquisitions, Finance, and Capital Markets.     Key Responsibilities


    • Maintain property documents (leases, budgets, contracts, COIs, COs, construction docs) with consistent folder structures across Dropbox and Drive, and serve as the primary point of contact for locating property files.
    • Keep delinquency tracking and leasing datasets (rent rolls, occupancy, renewals, concessions) current, collect monthly financials from property managers, and prepare first-pass tracking materials.
    • Abstract key lease terms (rent schedules, renewal options, expense responsibilities, critical dates) to support accurate, up-to-date lease data across asset and property management.
    • Track construction contracts, change orders, budgets, schedules, and invoices, and maintain milestone trackers.
    • Assist with tracking and review of property operating budgets and CAM reconciliations
    • Attend Asset Management and Property Management meetings, capture notes and action items, update project management software, and follow up with property managers and vendors on missing or overdue items.
    • Organize operational acquisition files (leases, rent rolls, service contracts, warranties, plans, permits, budgets), confirm receipt of seller deliverables before close, and support smooth handoff from acquisition to asset and property management.
    • Step in to cover the property management desk when needed, ensuring routine requests don't fall through the cracks while someone is out.
    • Conduct site visits to our Texas properties as-needed.
    • Support AM and investor reporting by compiling property-level data, updating reporting templates, and verifying figures before materials go out.


    Qualifications


    • 2+ years of experience in commercial property administration, commercial property management, commercial real estate operations, or a closely related role required.
    • Experience working with an owner, REIT, or real estate private equity group is a plus.
    • Proficiency with Google Workspace, advanced Excel skills, property management software (Yardi Voyager, Yardi Breeze, or MRI), and project management tools such as Monday.com.
    • Bachelor's Degree in Finance, Real Estate, Accounting, Economics, or other related field preferred.
    • Strong organizational skills with excellent attention to detail.
    • Ability to manage multiple deadlines and competing priorities in a fast-paced environment.
    • Strong written and verbal communication skills.
    • Comfortable working across internal teams and with external partners, including property managers, brokers, vendors, and sellers.
    • Self-motivated, with the ability to take initiative on repetitive or detail-heavy work without close oversight.


    Compensation


    • Salary range- $50-65k
