SUMMARY OF POSITION:

The Client Relations Associate is responsible for assisting with the customer service, efficiency, and productivity of the Maintenance team to which they are assigned. This includes supporting Account Managers, Superintendent, and Field staff with daily operations, scheduling, proposal generation, and coordinating specialty contractor work. The goal is to handle all office and administrative operations to allow field leadership to focus 90% of their time with clients and field team members.

RESPONSIBILITES:

· Serve as the main point of contact for the team’s clients to drive faster response times.

· Provide support with client proposals and quotes for up-sells and base accounts.

· Execute monthly property tracking for Tiered maintenance clients to identify irrigation and lighting up-sell opportunities.

· Ensure 100% data accuracy for client and property updates via Sage 100 contractor 2025, Salesforce, Procore, and QuickBooks Online.

· Coordinate with accounting and procurement to process payment requests for vendors and sub-contractors.

· Track all pending up-sells, enhancements, and proposals for collection purposes.

· Run weekly job costing and labor hour reports to ensure projects remain on budget.

· Verify and confirm daily paperwork, including Quality Control checklists and Work Orders.

· Perform monthly ride-alongs and frequent local property visits to build strong relationships with clients and property owners.

· Work with HR and Safety teams on employee paperwork, tools, and uniforms.

· Create monthly or quarterly newsletters to help promote upsells/ enhancements throughout the year.

· Send monthly base billings and weekly enhancement billings to clients. This is currently handled by the associates.

· Manage job start up processes for new long-term maintenance accounts.

TECHNICAL SKILLS & PC LITERACY

· Software Proficiency: Ability to comfortably work with software and apps on desktop, iPhone, and iPad.

  • Advanced Office Suite: Highly proficient with Microsoft Office, specifically Excel for Job costing and Work for proposals.

· System Familiarity: Proficiency in Sage 100 Contractor 2025, Salesforce, Procore and QuickBooks is highly preferred.

· Cloud Literacy: Must be able to manage digital files, create organized job folders, and navigate cloud-based sharing environments.

· Digital Communication: Ability to troubleshoot basis software issues and manage virtual “Touch Point” meetings.

QUALIFICATIONS AND EXPERIENCE:

· Two (2) to three (3) years of professional work history.

· One (1) or more years in client relations or the landscape industry.

· Proactive self-starter with strong attention to detail and ability to work under tight deadlines.

· Strong verbal and written English communication skills; bilingual in Spanish is a plus.

· Must possess a valid California Driver's License and be willing to travel locally up to 75%.

· Weekly follow-up of all pending enhancements and proposals.

· Weekly productivity reporting on labor hours.

· Monthly client touch points and ride-alongs.

PHYSICAL DEMANDS:

· Ability to stand, walk, and sit for extended periods in an office environment.

· Ability to lift up to 20 lbs.; unaided
