    Job description

    SUMMARY

    The primary purpose of this position is to create a high-end guest experience for all leisure guests focused on upselling amenities of Pinehurst, paying attention to details for each guest stay to ensure 100% accuracy of tee times, dining reservations, other amenities and guests contact information.

    QUALIFICATIONS:

    • Associates Degree and a minimum of one year hospitality, sales or customer service experience; or an equivalent combination of education and experience.
    • Exceptional attention to detail and accuracy in a fast-paced environment.
    • Strong organizational and time-management skills.
    • Excellent communication skills via voice & written communication.
    • Demonstrate a strong eagerness to learn new processes and seamlessly adapt to a fast-paced, dynamic work environment.
    • Strong multitasking skills are required to deliver fast, high-quality responses while managing various tasks simultaneously.

    KEY RESPONSIBILITIES:

    • Accurately handle incoming existing reservation calls to process reservation changes and make new amenity reservations including dining, golf, spa, caddies, transportation, lawn sports, tennis, etc.
    • Coordinate outbound guest experience communication via phone & email for all leisure guests 90 days & 30 days prior to arrival to request rooming lists, contact information of all guests, dining reservations, special amenity requests, promote private dinners, upselling additional tee times, golf scoring, lessons, etc.
    • Accurate data entry updating rooming lists with contact information for all leisure guests 2-4 weeks prior to arrival.
    • Properly code & assign tee times 2 weeks prior to arrival for all leisure guests ensuring accuracy for golf charge processing & bag tag printing.
    • Communicate effectively with all resort departments regarding leisure guests special requests and reservations.
    • Communicate & work closely with Reservation Sales Coordinators regarding their upcoming guest arrivals and any incomplete details or needs.
    • Answer incoming spa calls from resort guests, members & locals promoting and selling the Pinehurst Spa experience.
    • Become proficient with all necessary technology systems including: Versa, Agilysys Golf, Agilysys Spa, CRS, Reserve, Revinate, Teams and Microsoft Office Suite.
    • Responsible for learning and thoroughly understanding all packages offered by Pinehurst to facilitate proper recommendations & coding.
    • Exhibit exceptional verbal and written communication skills, along with professional telephone etiquette.
    • Clearly and confidently present information and respond to questions from both guests and colleagues.
    • Ensure all documentation is accurate, well-organized, and maintain a positive approach to resolving conflicts.
    • Stay up to date with new products, services, and updates to provide guests with the latest and most accurate information and personal recommendations.
    • Maintain a customer-centric approach with a positive attitude, handling inquiries with professionalism and empathy.
    • Collaborate closely with food & beverage teams including Carolina Dining Room, 1895 Grille and Catering Sales teams for specialty dining requests & reservations.
    • Communicate professionally and timely with various departments regarding leisure guests.
    • Adapt to various aspects of the job, with the flexibility to handle the ever-changing nature of customer inquiries and requests.
