Job description

Position Overview

The Sr. Project Coordinator is responsible for the overall, coordination of various activities to ensure the successful completion of operational projects.  This includes coordination of subcontractors and project materials/logistics.  The Sr. Project/Service Coordinator may work independently or may support Project Managers, Field Service Managers or Support Specialists on assignments to specific client projects.  Duties shall include, but not limited to, coordination (project set-up, resource/revenue tracking, review and approval of time and expenses) of assigned client projects.  In addition, creation and management of other documentation used to manage project execution and to ensure consistency with company strategy, commitments and goals.  Responsibilities also include, updating schedules and project plans, project status reporting and forecasts.  The Sr. Project Coordinator is viewed as a Subject Matter Expert (SME) regarding the job scope and ERP processes used to execute the job.   

ResponsibilitiesPrimary Duties and Responsibilities:
  • Support Project Managers, Operations Leaders, and team members in managing project scope, schedule, budget, resources, and deliverables.
  • Serve as a subject matter expert for ERP systems and related operational processes.
  • Coordinate project setup, maintenance, reporting, and closeout activities within ERP and production systems.
  • Support contract administration, change orders, purchase orders, procurement, and subcontractor coordination.
  • Coordinate customer billing, invoicing, AP/AR activities, and ensure compliance with company policies and client contracts.
  • Monitor project performance and communicate status updates to project teams, leadership, clients, and other stakeholders.
  • Maintain production logs, facilitate production meetings, and support operational planning activities.
  • Provide guidance and mentorship to junior Project Service Coordinators as needed.
  • Perform other duties as assigned.
    • Minimum QualificationsMinimum Qualifications:
  • Education: Bachelor's degree in finance, Accounting, Business Administration, or a related field preferred. An associate degree or high school diploma with equivalent experience will be considered.
  • Experience: Minimum of three (3) years of relevant project coordination, operations, accounting, business support, or related experience.
  • Technical Skills: Experience with project management and ERP systems (e.g., Microsoft Project, Primavera, Deltek) and proficiency in Microsoft Office applications, particularly Excel.
  • Knowledge: Practical understanding of project management principles and business operations.
    • Physical RequirementsWorking Conditions: 
    • Primarily office-based, with occasional travel to client offices and project sites.
    • Regular use of computers, telephones, and standard office equipment.
    • Appropriate safety training and PPE will be provided for field or client site visits, as required.
    • Frequent sitting, standing, and walking; occasional bending, reaching, lifting, carrying, pushing, and pulling.
    • Infrequent climbing, kneeling, squatting, and lifting/carrying up to 50 pounds.
    • Requires effective verbal communication, hearing, and visual abilities, including close vision, distance vision, depth perception, and the ability to adjust focus.
