    Position Summary

    The Facilities Coordinator is a hands-on operational professional responsible for supporting the daily maintenance, safety, and functionality of assigned facilities. This role works alongside maintenance staff, contractors, and vendors while managing the Facilities Work Order/Ticketing System, conducting inspections, supporting preventative maintenance, coordinating space setups, and ensuring exceptional customer service. This is not a desk-only position; the successful candidate leads by example and actively participates in day-to-day facilities operations.

    Core Responsibilities & Performance Expectations

    Facilities Ticketing & Work Order Management

    Responsibilities:

            Receive, prioritize, assign, monitor, and close work orders.

            Maintain accurate ticket documentation, notes, invoices, and photographs.

            Provide timely updates to requestors.

            Escalate critical issues when appropriate.

    Performance Expectations:

            95% of work orders completed within service standards.

            New requests acknowledged within 1 business day.

            98% documentation accuracy.

    Hands-On Facilities Operations

    Responsibilities:

            Conduct daily building walkthroughs and inspections.

            Work alongside maintenance staff during operational needs.

            Assist with office moves, room setups, furniture reconfiguration, and minor operational projects.

            Verify completed work before closing tickets.

    Performance Expectations:

            100% scheduled inspections completed.

            High-priority work personally verified before closure.

            Visible presence throughout assigned facilities.

    Vendor & Contractor Coordination

    Responsibilities:

            Coordinate vendors, monitor work quality, ensure safety compliance and timely completion.

    Performance Expectations:

            95% vendor work completed on schedule.

    Safety & Compliance

    Responsibilities:

            Serve as Deputy Fire Warden.

            Support OSHA, fire safety, and emergency preparedness.

    Performance Expectations:

            100% participation in required drills and compliance activities.

    Customer Service

    Responsibilities:

            Provide responsive service to internal stakeholders and maintain professional communication.

    Performance Expectations:

            90%+ positive internal customer satisfaction.

    Qualifications

            Associate degree or equivalent facilities, maintenance, office management, or property management experience.

            Experience using a facilities ticketing/work order management system preferred.

            Working knowledge of Microsoft Office; Oracle experience is a plus.

            Strong customer service, communication, organization, and problem-solving skills.

            Ability to perform hands-on operational work, including walking facilities, lifting up to 50 pounds, and assisting with building projects.
