Marsh & Associates (Allstate Insurance Agency) is a trusted provider of insurance solutions, dedicated to delivering exceptional service and support to our clients. We are seeking a detail-oriented and organized Administrative Assistant to join our team and support daily office operations.

Job Summary:
The Administrative Assistant will play a key role in supporting our insurance agents and office staff by managing administrative tasks, ensuring smooth office operations, and providing excellent customer service to clients. The ideal candidate is highly organized, professional, and capable of handling multiple responsibilities in a fast-paced environment.

Key Responsibilities:

  • Provide administrative support to insurance agents and office staff.
  • Handle incoming calls, emails, and client inquiries with professionalism and efficiency.
  • Schedule and confirm appointments for agents and clients.
  • Maintain accurate client records, policy documents, and databases.
  • Assist with processing insurance applications, renewals, and claims documentation.
  • Prepare reports, correspondence, and presentations as needed.
  • Manage office supplies and ensure a well-organized work environment.
  • Perform data entry, file management, and document organization.
  • Follow up with clients regarding policy renewals, payments, and additional documentation.
  • Assist with marketing and client outreach efforts, such as email campaigns and social media updates.
  • Ensure compliance with company policies and insurance regulations.

Qualifications & Skills:

  • High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
  • 2+ years of administrative experience (insurance industry experience is a plus).
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and office management software.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication abilities.
  • Customer service-oriented with a friendly and professional demeanor.
  • Ability to maintain confidentiality and handle sensitive information.
