Job description

Data Coordinator
Reports To: Data Manager (Core or Inland Empire, based on assigned region)
Status: Full-time; Non-Exempt
Location: Hybrid – Core (LA + SGV): Little Tokyo Office | Inland Empire: Riverside Office, with regular travel to program sites within the assigned region
Hours of Operation: Monday–Friday, 8:00 AM – 5:00 PM (40 hours/week), with flexibility required during reporting cycles and program launches
Hourly Range: Core (LA + SGV): $24.00 – $30.00 per hour | Inland Empire: $22.00 – $27.00 per hour (based on experience and qualifications)

What We Do:
Woodcraft Rangers provides TK-12 expanded learning programs, including before and after school, specialty enrichment, and summer learning. In the past few years, Woodcraft has expanded its menu of services beyond traditional afterschool programs and summer camps to include early learning, environmental and social justice, college access, and inclusion services for youth with intellectual and developmental disabilities. Additionally, we offer LifeCraft, a college and career advancement program to support the development of approximately 2,250 staff. Today, Woodcraft Rangers serves more than 30,000 youth ages 4 to 18 each year across 150 plus Title I schools in Los Angeles, San Bernardino, and Riverside counties, and continues to expand its reach.

Role Overview:
The Data Coordinator ensures that participant, enrollment, and attendance data is accurate, complete, and maintained in required systems across an assigned area — Core (LA + SGV) or Inland Empire (IE). Reporting to the regional Data Manager, the Coordinator monitors partner attendance systems, runs exception reports, follows up with site teams on missing or incorrect data, and supports records that underpin internal reporting, funder reporting, and audit readiness. Coordinators are the day-to-day connection between Woodcraft Rangers’ central data team and program sites, and they play a critical role in ensuring data quality at the source.
Responsibilities:
Data Entry & System Maintenance
  • Ensure participant, enrollment, and attendance data is accurate, complete, and maintained in required systems (e.g., EZReports, Afterschool HQ, and assigned district SIS platforms).
  • Monitor district partner attendance systems and follow up with sites on missing or incorrect data.
  • Maintain records that support internal reporting, funder reporting (ASES, 21st CCLC/ASSETs, ELOP, foundation funders), and audit readiness.
Quality Control & Issue Resolution
  • Run exception reports to identify data gaps, duplicate entries, incomplete rosters, or submission issues.
  • Follow up with sites on corrections within established timelines.
  • Escalate recurring or unresolved data issues to the Data Manager.
Site Support
  • Support site teams with corrections, process reminders, and system use.
  • Provide clear, patient guidance to site staff on attendance and enrollment workflows.
  • Build trusted working relationships with assigned site staff and program leads.
Compliance & Data Privacy
  • Handle participant and family data in compliance with FERPA, district data sharing agreements, and applicable student data privacy laws.
  • Maintain confidentiality of all participant records.
Qualifications / Skills:
Required
  • High school diploma or equivalent.
  • 1–3 years of experience in a data entry, data coordination, administrative, or comparable role.
  • Proficiency in Excel and Microsoft 365.
  • Strong attention to detail and follow-through.
  • Clear written and verbal communication skills.
  • Comfort using and learning new database and reporting systems.
  • Willingness to learn and apply FERPA and student data privacy requirements.
  • Valid California driver’s license and reliable transportation for regional site travel.
Preferred
  • Associate’s or Bachelor’s degree.
  • Experience with expanded learning data systems (EZReports, Afterschool HQ) and/or district SIS platforms (Aeries, Synergy, Infinite Campus).
  • Prior experience in a youth-serving nonprofit, school, or expanded learning program.
  • Bilingual (English/Spanish).
