Salson is seeking a highly organized Maintenance Shop Clerk / Shop Administrator to support our busy maintenance department in Newark, NJ. This position is critical to keeping our shop running efficiently by maintaining accurate records, managing inventory, and providing administrative support to our maintenance team.

Responsibilities

• Maintain accurate maintenance records and data entry within company systems.
• Track and manage parts inventory, including receiving, issuing, and organizing inventory.
• Monitor inventory levels and coordinate parts ordering to prevent shortages.
• Process purchase orders, invoices, and vendor documentation.
• Maintain equipment, repair, and preventive maintenance records.
• File and organize work orders and maintenance documentation.
• Coordinate with vendors regarding deliveries, parts availability, and invoices.
• Assist mechanics and shop leadership with administrative tasks.
• Prepare reports using Microsoft Excel and other office applications.
• Ensure all shop documentation is accurate, organized, and audit-ready.
• Answer phones, respond to emails, and provide general administrative support.

Qualifications

• Previous administrative, inventory, warehouse, or maintenance office experience preferred.
• Strong computer skills, including Microsoft Excel, Outlook, and Word.
• Excellent data entry accuracy and attention to detail.
• Strong organizational and multitasking abilities.
• Ability to work independently while supporting a team environment.
• Excellent communication and customer service skills.
• Experience with fleet maintenance software (such as Transman or similar CMMS systems) is a plus.
