What You'll Do

• Answer and direct incoming telephone calls professionally
• Welcome and assist customers, vendors, and visitors
• Perform general administrative duties including filing, copying, scanning, faxing, and mailing
• Process customer orders through phone, in-person, and online channels
• Prepare daily delivery invoices and process cash receipts
• Assist with new customer account setup
• Support the sales team with quotes and special pricing
• Enter and scan Accounts Payable invoices
• Create, edit, and format correspondence, reports, and presentations
• Coordinate meetings, special events, and office communications
• Maintain office supply and kitchen inventory
• Coordinate incoming and outgoing mail and shipments
• Maintain office records, filing systems, building keys, and equipment records
• Support executives and management with administrative projects
• Complete special projects and additional administrative duties as assigned

What We're Looking For

• 3-5 years of administrative experience preferred
• Experience working in a fast-paced, customer-focused office environment
• Associate degree or equivalent combination of education and experience preferred
• Excellent verbal and written communication skills
• Strong customer service and interpersonal skills
• Professional phone etiquette
• Highly organized with exceptional attention to detail
• Ability to prioritize multiple tasks and meet deadlines
• Self-motivated and able to work independently and collaboratively
• Proficient with Microsoft Word, Excel, PowerPoint, and Outlook
• Ability to quickly learn new software and business systems
• Accurate typing skills (approximately 60 WPM preferred)
• Professional demeanor with the ability to interact confidently with executives, customers, and team members
