Job description

This role serves as the operational backbone of our Fort Mill office, overseeing day-to-day administrative functions, maintaining office supplies and facilities, and supporting agents through the transaction and closing process. Additionally, the person in this role will serve as an important part of our brokerage-wide agent Training & Support team, learning the technology and tools offered to REMAX Executive agents to provide hands-on agent support by fielding questions, leading training, and troubleshooting challenges. This role requires strong attention to detail, especially in reviewing closing files for accuracy and compliance, and is well suited to those who are resourceful, curious, and persistent towards technology and problem-solving.

Compensation:

$42,000 - $48,000 yearly


Responsibilities:

Office Management

  • Serve as the primary point of contact for day-to-day office operations

  • Monitor and maintain inventory of office supplies, marketing materials, and equipment; place orders as needed

  • Ensure the office is presentable, functional, and welcoming for agents and clients

  • Coordinate with vendors, building management, and IT/facilities as needed

  • Greet visitors, answer phones, and direct inquiries appropriately

Transaction & Closing File Support

  • Assist agents with preparing, organizing, and submitting closing files

  • Perform quality control (QC) review on transaction files to verify all required documents, signatures, and disclosures are present and accurate

  • Flag missing or incorrect documentation and follow up with agents to resolve before closing

  • Track file compliance status and escalate issues to the Broker-in-Charge as needed

  • Maintain organized digital and/or physical file storage in line with brokerage and state commission requirements

Agent & Administrative Support

  • Assist with agent onboarding paperwork and office orientation

  • Support office communications (announcements, event coordination, etc.)

  • Maintain office records, license documentation, and administrative logs

  • Provide general administrative support to the Broker-in-Charge/leadership as needed

Technology Support & Training

  • Learn and develop working expertise in the technology tools and platforms offered by REMAX LLC and REMAX Executive

  • Serve as a front-line resource for agents' technology questions, troubleshooting issues as they arise

  • Monitor and respond to inquiries in the shared support email inbox

  • Meet regularly with the Training & Support team and with technology representatives to stay current on platform capabilities and updates

  • Partner with the Director of Training & Technology to evaluate tools and inform technology decisions for the brokerage

  • Deliver agent training on technology platforms, both in group settings and one-on-one, virtually and in-person

Event Coordination & Office Community

  • Coordinate logistics for office events, meetings, and training sessions

  • Communicate directly with sponsors, speakers, and agents to share information, extend invitations, and collect RSVPs

  • Make outbound phone calls and handle direct communication to resolve scheduling or logistical challenges

  • Build and maintain friendly, professional relationships with vendors, sponsors, and agents


Qualifications:
  • High school diploma required; Associate's or Bachelor's degree preferred

  • Familiarity with real estate transaction documents, contracts, and closing processes

  • Strong organizational skills with close attention to detail

  • Proficiency in Microsoft Office/Google Workspace and Zoom or other virtual meeting platforms

  • Excellent verbal and written communication skills; comfortable communicating one-on-one and in group/training settings; comfortable making phone calls

  • Self-starter and lifelong learner with an inquisitive, determined mindset — enjoys exploring technology hands-on to find solutions

  • Friendly, professional demeanor with the ability to build rapport quickly

  • Ability to work independently with minimal guidance, while also collaborating well as part of a team

  • Ability to multitask across administrative and technology responsibilities

  • Discretion in handling confidential and sensitive information
