Job description

We help protect our customers against life's uncertainties. Regardless of where you work within the company, you'll be helping provide protection and peace of mind when our customers need it most.
The Order Processing Specialist is responsible for dispatching all inbound orders to production and provide backup support to the Shipping specialist. Creates purchase orders, sales orders, and the management of maintaining accurate inventory levels of purchased and received items. Ensures inventory is properly invoiced daily and reconciled efficiently when needed. Utilize all available inventory tracking software and devices efficiently. Relies on experience and judgement to plan and accomplish goals to perform a variety of departmental tasks. Works under general supervision and reports to Logistics Manager.
Location & Schedule
This role is based onsite at Protective's Strongsville, Ohio office.
Work schedule = Monday - Friday, 830am-530pm EST
Training schedule = Monday - Friday. 900am- 600pm EST (First 3 weeks of employment)
What We're Looking For
  • Proficiency in Microsoft Office and strong overall computer skills.
  • Experience with or knowledge of shipping and inventory control processes preferred.
  • Strong organizational skills, attention to detail, and the ability to manage multiple priorities effectively.

Essential Functions:
  • Dispatches all inbound orders to Production Specialists via the Live Sheet.
  • Ensures all orders are dispatched on to the Live Sheet to meet or exceed deadlines.
  • Places orders for inventoried products upon request for inbound and outbound orders.
  • Works with Shipping Specialist to accurately account for and track outbound shipments.
  • Assists with the fulfillment of daily incoming supply orders.
  • Closes corresponding supply order notes in Vander daily, as needed.
  • Communicates with associates and vendors via email, Teams, and in-person.
  • Schedules and revises shipment plans to ensure efficient distribution of products to satisfy customers on an as needed basis when Shipping Specialist is unavailable/out of the office.
  • Pulls inventory as needed for the fulfillment of supply orders.
  • Unloads and stocks delivered items into the shipping department.
  • Creates purchase orders.
  • Maintains proper levels of all inventoried items to meet the volume of requests.
  • Receives all inventoried items via Intacct.
  • Creates Sales Orders for any internal and or/external requests.
  • Emails product invoices.
  • Clears accrual Sales Orders.
  • Manages import/export for invoicing.
  • PPM Kick Off mail/merge letters.
  • Communicates with Shipping on the status of requested inventory to be shipped at all times.
  • Orders all Internal Office Supplies.
  • Ensures that all inventory and supplies leave the building with the proper invoicing or payment in advance.
  • Works closely with accounting to maintain accurate Purchase Orders and Invoicing.
  • Carries out inventory control policies and procedures, such as performing accurate daily, weekly, and monthly cycle counts.
  • Performs inventory count reconciliations.
  • Fulfill and deliver internal office supply orders.
  • Maintains a clean and safe work environment.
  • Takes ownership of changes and is personally responsible for managing change in an upbeat positive manner.
  • Other Job Duties as assigned.

Education and Qualification Requirements:
  • Strong computer skills including proficiency with Microsoft Office.
  • Knowledge of Shipping and Inventory Control practices and strong Time Management Skills.
  • Ability to multi-task, work as a member of a team, handle unforeseen pressure and keep a positive attitude.
  • Well-developed organizational skills and the ability to successfully manage multiple issues and demands.
  • Flexibility to work outside of scheduled shift hours with minimal notice, including weekends.
  • High School diploma or equivalent.

  • Excellent communication skills, both verbal and written.
  • Ability to communicate and work with multiple personalities.

  • Well-developed organizational skills and the ability to successfully manage multiple issues and demands.
  • Ability to remain strictly confidential regarding information known that is not public information.

Work Environment and Physical Requirements:
  • Shipping and receiving environment. Extended periods of time spent outdoors in various climate conditions.
  • Vision acuity is required to include close vision, color vision, distant vision, and the ability to adjust focus.
  • Ability to grasp objects such as a telephone or a computer mouse, finger dexterity to use a keyboard, calculator, and standard office equipment.
  • Ability to stand for long periods of time.
  • Ability to walk, reach with hands and arms; stoop kneel, crouch, and lift up to 50 pounds.
  • Ability to frequently sit for long periods of time.
  • Ability to hear and talk, both in person and by phone.
  • Ability to spend extended hours in front of a computer screen.

$20 - $24.56 an hour
Protective's targeted compensation for this position is $20.00 - $24.56 per hour. Actual salaries may vary depending on factors, including but not limited to, job location, skills, and experience. The range listed is just one component of Protective's total compensation package for employees. This position also offers additional incentive opportunities through an annual incentive based on individual and Company performance.
