Receives client families and visitors at the front desk by greeting, welcoming, directing and announcing them courteously and appropriately. Answers, screens, and routes incoming phone calls plus other general office support duties

RESPONSABILITES DU POSTE

  • Accueillir les invites et les visiteurs, offrir de l'aide a l'entree.

  • Repondre aux questions de base sur les services, les produits, la direction de la succursale, etc.

  • Repondre au telephone, trier et diriger les appels vers le personnel approprie.

  • Offrir un environnement confortable et agreable pour les clients, fournir des rafraichissements ou autres commodites aux familles. Faire le cafe.

  • Garder la salle d'attente en ordre, vider les poubelles, replacer les boites de mouchoirs et maintenir l'ordre general.

  • Recevoir le courrier et les colis.

  • Organiser et mettre a jour les documents papier et electroniques, ainsi que les dossiers, comme les actes notaries et les documents de fiducies.

  • Pourrait devoir taper des documents simples, faire de la revision, de la saisie de donnees et des impressions.

ExigencesMINIMALES

Formation

  • Diplome d'etudes secondaires ou l'equivalent

Experience

  • 6 mois d'experience de bureau, de receptionniste ou de soutien administratif, de preference.

  • Capable d'utiliser efficacement un telephone, un telecopieur, un photocopieur.

Connaissances, competences et aptitudes

  • Connaissance de l'informatique et de logiciels tels que la suite MSOffice

  • Ton de voix clair et professionnel.

  • Competences de relations professionnelles et interpersonnelles, pour gerer des situations sensibles et confidentielles.

  • Agir avec calme, tact et diplomatie, en tout temps.

  • Pouvoir travailler le samedi ou le dimanche et au-dela des heures normales de travail.

JOB RESPONSIBILITIES

  • Greets guests and visitors, offering assistance when entering the building
  • Notifies staff members when appointments arrive and escorts guests to appropriate room
  • Answers routine questions associated with services, products, location directions, etc.
  • Immediately notifies and involves management with customer service and security issues
  • Receives deceased belongings from family and follows chain of custody procedures
  • Answers, screens, and routes incoming calls to appropriate staff members
  • Maintains a comfortable environment for clients, providing beverages and other amenities for families as needed. May make coffee.
  • Maintains guest-waiting area, disposing of trash, replacing tissues, and general straightening of furniture
  • Receives incoming mail and packages
  • Maintains organized and current electronic and paper files and records, such as deeds and trust files
  • May perform light typing, proofreading, data entry or printing

MINIMUM REQUIREMENTS

Education

  • High School Diploma or equivalent

Experience

  • Six months general office, receptionist, or administrative support experience preferred
  • Proficient at operating telephones, fax, copier

Knowledge, Skills and Abilities

  • Working knowledge of MS Office Suite
  • Clear and professional speaking voice and tone
  • Professional interpersonal skills to handle sensitive and confidential situations
  • Position continually requires demonstrated poise, tact and diplomacy
  • Ability to work schedule including Saturday and or Sunday and beyond standard business hours
