About Our Client
The organization operates as a respected leader in the Financial Services sector, known for its professional environment and structured operations. It has global reach and offers the stability of a well-established entity while fostering a collaborative and supportive workplace. This EA will work closely with a team of 15 other administrative staff, as well as another EA supporting this team directly.
Job Description
  • Manage complex calendars, schedule meetings, and coordinate travel arrangements for senior executives.
  • Coordinate closely with clients and maintain client confidentiality. Experience with investor relations is strongly preferred.
  • Prepare and edit correspondence, presentations, and reports with a high level of accuracy and professionalism.
  • Act as the first point of contact, handling inquiries and correspondence on behalf of executives.
  • Organize and maintain confidential files and records, ensuring data accuracy and accessibility.
  • Coordinate internal and external meetings, including preparing agendas and taking minutes as needed.
  • Ensure effective communication between executives and internal/external stakeholders.
  • Assist in planning and executing company events and initiatives as required.
  • Provide general administrative support to ensure the smooth functioning of the department.

The Successful Applicant
A successful Executive Assistant should have:
  • Proven experience in providing administrative support to senior executives in the Financial Services industry or a related field.
  • Experience supporting Investor Relations teams, or being client facing is strongly preferred.
  • Strong organizational and multitasking skills with exceptional attention to detail.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Excellent written and verbal communication skills.
  • Ability to handle sensitive and confidential information with discretion and professionalism.
  • A proactive approach to problem-solving and the ability to work independently.
  • Strong interpersonal skills to build relationships with internal and external stakeholders.
