Hours: 36 hours per week; Monday - Thursday, 8:30 am 5:00 pm and Friday, 9:00 am 1:00 pm
As an Administrative Assistant, you will:
  • Coordinate the Reception function. Ensures that visitors, guests, staff and vendors are greeted. Routes callers appropriately.
  • Manage the central office facility and ensures office security procedures are maintained andmonitors safety and comfort of staff and visitors.
  • Coordinate and process various orders and invoices and manages these assigned central office vendors and provides order tracking and meaningful review of invoices.
  • Distribute mail accordingly and manages office mailing needs as applicable.
  • Act as the central point of contact for calendaring, resource scheduling, as well maintain common area spaces such as kitchen and conference space and ensures space is neat and tidy.
  • Coordinate the payment methods for purchasing. May organize the documentation for the corporate credit card and may be assigned use of credit card. Review monthly statement, remedy problems and obtain approval.
  • Monitor and maintain proper inventory of off-site document storage.
  • Provide administrative support for Executive Management. Main support for central office staff.
  • Facilitate communication for building repairs, cleanliness of interior and exterior of building, assists with property inventory, and oversees maintenance of office supplies. Manage key operators for fax and copy machines and voice mail system.

Requirements
Education: High School diploma or equivalent required
Additional Qualifications and Skills
  • 2+ years of administrative support experience to include a high level of demonstrated organizational and communication skills.
  • Experience in providing support to large organizations and Executive level staff.
  • Intermediate computer skills, including MS Office
  • Database skills and use of digital design programs such as Visio or Photoshop preferred
  • A valid California driver's license in good standing, personal vehicle, and proof of insurance is required to fulfill the essential functions of this position
  • Ability to pass criminal/background clearance
