Position Summary:
Under general supervision, the Group Anchor performs a variety of tasks to directly support the entire project management team.  This multifaceted position involves a wide range of administrative responsibilities, tasks, and projects, with a strong emphasis on enhancing executive coordination with the group. As Group Anchor, you will collaborate with various team members and corporate departments to ensure the smooth operation of the group's daily activities and project management functions. 
What You Will Do
  • Provide support for the Group Executive, Project Managers, Assistant Project Managers, Project Engineers, Superintendents and Field Personnel to fulfill the diverse needs of the group.
  • Serve as the primary liaison between the group and corporate departments, including Job Cost and Accounting, to facilitate seamless communication and collaboration.
  • Adhere to the group's daily, weekly and monthly accounting calendar deadlines, ensuring the efficient management of financial aspects, with a focus on invoicing and accounts receivable (AR) activities
  • Collaborate with Project Management and Field Management teams, taking on additional tasks as requested to ensure the successful execution of projects.
  • Assist Field Management with additional tasks as requested
  • Assist with the monthly review of substantiations and contribute to the audit process to maintain financial accuracy and compliance. 
  • Handle various administrative tasks, including contracts, change orders, budget reconciliations, project history logs, job setups, transfers, billings, job closures, certificate of insurance requests, panel schedules, and project manuals.
  • Establish and maintain all project management and administrative files, fostering an organized and efficient work environment.
  • Arrange, coordinate, and attend meetings, prepare agendas, and compile and distribute notes and reports.
  • Monitor and facilitate the group's reclassification of timecards to streamline workforce management.
  • Assist in job closeouts by coordinating with the Purchasing and Warehouse departments, ensuring timely and orderly conclusion of projects.
  • Compose, format, and edit internal and external correspondence, agreements, and proposals, maintaining a high standard of communication.
  • Master PRIME's processes and actively educate group members their utilization, fostering a knowledgeable and efficient team.
  • Adhere to the PRIME Safety Program, complying with safety regulations, procedures and safe work practices.
  • Maintain a physical presence onsite and regularly visit jobsites to oversee progress and provide assistance to the project management team as needed.
  • Performs other duties as requested; duties, responsibilities, and activities may change or new ones may be assigned at any time with or without notice. 
What You Will Need to be Successful
  • An associate degree or equivalent from two-year college or technical school; or one to three years related experience and/or training; or an equivalent combination of education and experience, preferred.
  • Demonstrated proficiency in multi-tasking, organizational abilities, customer service, and effective prioritization skills.
  • Exceptional written and verbal communication skills to facilitate clear and efficient interactions within the team and with external stakeholders.
  • An accounting background and experience with substantiation documentation are highly desirable, as these skills are crucial to the role.
  • Ability to exercise prudent judgment and maintain confidentiality and sensitivity with handling information.
  • Strong computer skills and proficiency with Microsoft Office to effectively carry out administrative and reporting tasks. 
Special Requirements/Physical Demands/Working Conditions:
  • Work is primarily performed in an office setting with minimal health or safety hazards.  Noise level and temperature is moderate.  Minimal lifting or climbing.  This position is expected to be fully in-person, with some travel such as, but not limited to, other offices, work sites and local business errands. 
When performing project services in the field:
  • Work is primarily performed in an outdoor field setting with occasional exposure to health or safety hazards such as, but not limited to, electrical hazards, water hazards, hazardous terrain, inclement weather conditions, traffic and loud noises.  Occasional climbing and/or lifting (up to 30 lbs.)  Travel required to work sites.  Frequent use of personal protective equipment (e.g. safety glasses, gloves, safety vests, hard hats and steel-toed boots).
$32 - $48 an hour
