Executive Administrative & Marketing Intern

Paid Internship | $18.00 Per Hour

Location: St. Louis, Missouri

Schedule: Monday – Friday | 7:30 a.m. – 4:00 p.m.

Annie Malone Children & Family Services is seeking a highly organized, detail-oriented, and technology-savvy Executive Administrative & Marketing Intern to support executive leadership in a fast-paced nonprofit environment.

This position provides hands-on experience supporting executive operations, communications, project management, presentation development, marketing initiatives, and special projects that help strengthen children, families, and communities throughout the St. Louis region.

The ideal candidate is a strong communicator, fast learner, problem solver, and self-starter who can effectively manage multiple priorities while maintaining confidentiality and professionalism.

Position Responsibilities

Executive Administration

  • Manage executive calendars, scheduling, and meeting coordination.
  • Coordinate meetings, conference calls, trainings, and organizational events.
  • Prepare meeting agendas, supporting materials, and executive briefing documents.
  • Attend meetings and prepare professional meeting minutes, summaries, and action-item reports.
  • Track organizational priorities, deadlines, projects, and follow-up items.
  • Assist executive leadership with special projects and strategic initiatives.
  • Prepare correspondence, reports, memoranda, spreadsheets, and executive communications.
  • Coordinate travel arrangements and logistical planning as assigned.

Executive Communications & Email Management

  • Monitor designated executive email accounts and assist with email management.
  • Review, prioritize, and organize incoming communications.
  • Identify urgent matters requiring immediate attention.
  • Draft professional email responses and executive correspondence.
  • Prepare daily executive email summaries and action-item reports.
  • Coordinate communications with staff, board members, donors, volunteers, community partners, and external stakeholders.
  • Maintain confidentiality and exercise sound judgment when handling sensitive information.

Technology & Presentation Support

  • Create professional PowerPoint presentations for executive leadership, board meetings, donor presentations, trainings, and community presentations.
  • Develop presentations from outlines, meeting notes, strategic plans, and leadership discussions.
  • Schedule and manage meetings utilizing Microsoft Outlook, Microsoft Teams, and Zoom.
  • Support virtual meetings and presentations.
  • Assist with presentation preparation, technology setup, and troubleshooting.
  • Utilize AI technology and productivity tools to improve communication, workflow efficiency, content creation, project management, and administrative effectiveness.

Marketing & Communications

  • Create flyers, newsletters, graphics, and promotional materials.
  • Assist with social media planning, content creation, and scheduling.
  • Support organizational marketing campaigns and community outreach efforts.
  • Assist with event promotion and organizational communications.
  • Maintain Annie Malone branding standards across communications and marketing materials.
  • Assist with website updates and digital communications as assigned.
  • Capture photos and content for organizational events when appropriate.

Minimum Qualifications

Applicants must meet one of the following educational requirements:

  • Currently enrolled in an accredited college or university pursuing an Associate's or Bachelor's degree; OR
  • Possess an Associate's degree or Bachelor's degree from an accredited institution.
