Investigative Assistant

The Investigative Assistant (IA) provides dedicated administrative, database, and case-support services to the AFOSI Polygraph Program in support of Counterintelligence Scope Polygraph (CSP) examinations. The IA works closely with contract Polygraph Examiners, Schedulers, the AFOSI Polygraph Program Manager (PM), and the Polygraph Technical Contracting Officer Representative (PTCOR) to ensure accurate case tracking, timely report distribution, and proper handling of sensitive examinee data across all program Zones.

Key Information: Clearance Active DoD SECRET (required) Employment Type Full-Time Equivalent (FTE) Locations Washington DC area / Russell Knox Building (RKB), Quantico, VA Colorado San Antonio, Texas Duties and Responsibilities

  • Track and manage all Government-provided examinee names, case files, and examination records in AFOSI-approved tracking systems.
  • Update DISS (Defense Information System for Security) or similar databases upon Quality Control (QC) approval of completed examinations.
  • Coordinate with contract Polygraph Examiners to assist in assembling and validating complete examination report packages (charts, recordings, and report forms) prior to QC submission.
  • Distribute completed AFOSI Polygraph reports to appropriate commands and requesting agencies in accordance with program procedures.
  • Prepare and provide accurate invoices in accordance with individual Call Order terms.
  • Assist in validating examination data supporting reciprocity agreements and prepare authentication letters for transmission to external agencies, as required.
  • Maintain accurate, current records of examinee scheduling status, case dispositions, and documentation for retention in official AFOSI records.
  • Support the Contractor Program Manager and Schedulers with day-to-day administrative functions across the assigned Zone(s).
  • Safeguard all Personally Identifiable Information (PII) and Protected Health Information (PHI) encountered during casework in accordance with the Privacy Act and HIPAA.
  • Participate in on-board orientation and required AFOSI Polygraph policy/procedure training.

Minimum Qualifications / Requirements

  • High school diploma or equivalent required; associate's degree or relevant coursework in criminal justice, administration, or a related field preferred.
  • Prior experience in an administrative, records management, case support, or investigative support role, preferably within a federal, military, or law enforcement environment.
  • Demonstrated experience with data entry and database management; familiarity with DISS or comparable DoD personnel security systems is highly desirable.
  • Strong organizational skills with high attention to detail and accuracy in documentation.
  • Proficiency with Microsoft Office applications (Word, Excel, Outlook).
  • Strong written and verbal communication skills to interface with Government personnel, examiners, and outside agencies.
  • Ability to handle sensitive and classified/controlled information with discretion.
  • Active DoD SECRET clearance at time of hire (or ability to obtain one).

Preferred Qualifications

  • Prior experience supporting a polygraph, counterintelligence, insider threat, or personnel security program.
  • Familiarity with AFOSI or Air Force administrative processes and reporting requirements.
  • Experience working within a non-personal services federal contract environment.

Work Conditions

  • Full-Time Equivalent (FTE) position supporting a non-personal services contract; the Contractor manages and supervises all employee work assignments.
  • Standard government duty hours are 0730-1630 (core hours 0800-1600), Monday through Friday, excluding federal holidays; baseline schedule is 8 hours/day, 40 hours/week.
  • Primary duty location is expected to be within the Washington, DC area, Colorado, and/or San Antonio, Texas.
  • Must present a professional appearance and demeanor at all times and function effectively during extended periods of high pressure and workload.

Security Requirements

  • Must possess and maintain an active DoD SECRET security clearance for the duration of the contract.
  • Must be able to obtain and maintain a Common Access Card (CAC).
  • Must be a U.S. citizen eligible for the required background investigation.
  • Must comply with all AFOSI/DoD information assurance, CUI, Privacy Act, and HIPAA safeguarding requirements, including annual Information Assurance (IA) awareness training.
