About the Position
The Service Writer is a key member of the Washington Power Systems Service Department, providing administrative and customer support throughout the service process-from opening work orders to final invoicing and customer documentation.
This role is ideal for someone who is organized, detail-oriented, and enjoys coordinating multiple priorities in a fast-paced environment. You'll work closely with customers, technicians, supervisors, and other departments to ensure service work is documented accurately, completed efficiently, and billed on time.
About this Position:

  • This position is based full-time in Tukwila, WA
  • Our Service Writer position is responsible for managing the administrative areas of our team and is an important role within our Washington operations.
  • It is the Service Writer's job to manage many work orders in all parts. Service Writer's create work orders using data given by customer or supervisor. They approve technician's service notes, attach reports and inspection results, approve and reject timecards, have the ability to follow a contract and quote by dollar amount and verbiage, handle computer-made invoicing, email all supporting documents to the customer, and occasionally schedule technicians.
  • Attention to detail with accuracy is essential for this role.
  • Creating and keeping customer relationships using positive and professional communication is necessary.
Qualifications & Experience Needed:
  • Two or more years of administrative, customer service, service coordination, logistics, or related experience preferred.
  • Experience in a service department, equipment dealership, automotive, heavy equipment, industrial, or field service environment is helpful but not required.
  • Basic mechanical aptitude or willingness to learn equipment and maintenance concepts.
  • Strong communication, organization, and attention to detail.
  • Ability to manage multiple priorities while maintaining accuracy.
  • Self-motivated with strong follow-through and sound judgment.
  • Bilingual English/Spanish is a plus.
  • Essential Computer Skills: Repetitive typing tasks, copy+paste, Folders: Saving, Filing, Renaming, opening & closing documents, Edit a PDF, Create a Word doc, Excel Sheet, & use Outlook, work off of 2 monitors, ability to learn new programs and CAT specific software

  • Produce accurate work orders and maintain organized records.
  • Communicate effectively with customers and technicians.
  • Identify and resolve missing information before it impacts billing.
  • Help reduce delays between service completion and invoicing.
  • Adapt to changing priorities while maintaining excellent customer service.
Physical Requirements:
  • Ability to communicate effectively in person, by phone, and through email.
  • Ability to use computers and standard office equipment throughout the workday.
  • Ability to sit, stand, and walk as needed during an eight-hour shift.
  • Ability to work in a fast-paced, deadline-driven environment.
  • Ability to occasionally lift up to 40 pounds and travel locally for business needs.
