Job description

Description:

The Proposal Coordinator will coordinate the development, writing, editing, production, and proofing of proposals, statement of qualifications, presentations, resumes, project descriptions, and related marketing/proposal materials within the LAN brand standards. This position reports to the Proposal Manager.


This role requires collaboration with business development leads, business group leaders, engineers, construction managers, and management staff to develop marketing/proposal materials that clearly demonstrate LAN's value proposition and differentiators against competitors in that market sector. This role coordinates large volumes of information and requires an understanding of industry issues and standards.


Scope of role:

  • Develops responses to RFQ/Ps
  • Supports preparation for short-list interview presentations
  • Updates VantagePoint database with relevant project and resume information
  • Provides additional, as-needed marketing support for presentations and collateral


Responsibilities:

  • Processes inbound RFP, RFI & RFQ requests via Regional/Business Group Marketing Manager to support the strategic development of the deliverable.
  • Ensures all response materials are on time, on budget and error free
  • Ensures all response materials are archived & tagged within VantagePoint knowledge Management system, Joist.AI, Monday, and LAN drives.
  • Coordinates entire RFQ/P response package including creative services, copy, data, SME interviews, sub-consultant materials, and more if applicable to the response
  • Supports proposal-related meetings/presentations to coordinate responses.
  • Researches, writes, edits, and proofreads copy for proposals, presentations, reports, statements of qualifications, white papers, and other related marketing materials of non-technical nature, as assigned.
  • Review technical copy from Subject Matter Experts for error, clarity, quality, compliance and key message.
  • Manages distribution and development of pink, red, and gold drafts; lead draft review meetings to discuss comments and incorporate.
  • Ensure proposal quality and compliance.
  • Supports short-list interview preparation by drafting powerpoint slides and leave-behind materials; coordinates with internal graphics department for additional support
  • Provides additional, as-needed marketing support to the business group including collateral development and presentations.


Requirements:
  • Bachelor’s degree in Marketing, Journalism, Communications or related field preferred
  • Two to five+ years’ experience in AE/C industry environment producing proposals
  • Strong proficiency in writing, editing, proofreading, and graphic skills
  • Proficiency in use and application of Adobe Creative Suite (InDesign, Photoshop, Illustrator), Microsoft Office and CRM Program (Deltek preferred).
  • Process oriented

  • Demonstrated ability to communicate and interact effectively with all levels of personnel, including management staff and support staff.
