Job description

Eastern Sports Management (ESM) operates a growing portfolio of premier sports and recreation facilities, dedicated to enhancing community engagement through world-class athletic experiences. As we continue to expand, we are seeking a highly organized and knowledgeable Payroll and Benefits Administrator to join our Corporate team. This role is critical in ensuring accurate and timely payroll processing, benefits administration, and compliance across multiple locations.

The Payroll and Benefits Administrator is responsible for overseeing payroll processing and employee benefits administration for ESM's multi-state workforce. This role ensures compliance with all federal, state, and local regulations, and works closely with HR, Accounting, and third-party providers to maintain accurate records and employee satisfaction. Experience with ADP Workforce Now is highly preferred. The Payroll and Benefits Administrator reports directly to the Director of Human Resources.

Compensation: $45,000 - $55,000/Year

Essential Duties and Responsibilities

Payroll Administration

  • Process bi-weekly, multi-state payroll for salaried and hourly employees using ADP Workforce Now, including Time and Attendance.

  • Review and validate employee timecards, PTO balances, and other payroll inputs for accuracy and compliance.

  • Monitor and Audit timekeeping records and discrepancies, missed punches, and approvals in coordination with department managers, general managers and business managers

  • Maintain and update employee payroll records, including new hires, terminations, rate changes, and PTO along with any retention practices.

  • Ensure accuracy of payroll data including timekeeping, deductions, garnishments, retroactive payments or wage adjustments and taxes.

  • Prepare payroll reports and support Finance with back-up reports for payroll journal entries and reconciliations.

Benefits Administration
  • Administer company benefits programs including health, dental, vision, and 401(k).

  • Serve as the main point of contact for employee benefit inquiries and issues.

  • Conduct benefits enrollment and onboarding for new employees.

  • Maintain benefit records and ensure accurate deductions and vendor communication.

  • Coordinate annual open enrollment and liaise with benefit brokers and carriers.

  • Assist with COBRA administration and ACA reporting requirements.

Compliance and Reporting
  • Ensure compliance with federal, state, and local payroll and benefits regulations.

  • Maintain confidentiality of sensitive employee data.

  • Generate regular and ad hoc reports for management and audits.

  • Support annual audits, including workers' comp, 401(k), and financial audits.

Qualifications

  • Associate's or Bachelor's degree in Human Resources, Accounting, Business, or related field preferred.

  • Minimum of 3 years of payroll and benefits administration experience, preferably in a multi-state environment.

  • Hands-on experience using ADP Workforce Now including Time and Attendance is strongly preferred.

  • Solid understanding of payroll tax laws, wage and hour laws, and employee benefits regulations.

  • Proficiency in Google Suite and MS Office is required.

  • Strong attention to detail and ability to handle confidential information with discretion.

  • Excellent communication and interpersonal skills.

  • Strong Excel and data management skills.

  • Experience in a multi-location or hospitality/sports management industry is a plus.
