Workday HCM Administrator

The Workday HCM Administrator (Admin level) supports the day-to-day administration, configuration, security, and ongoing optimization of the Workday platform across core HCM and the following modules: Payroll, Benefits, Time Tracking, Recruiting, Advanced Compensation, Talent Optimization, Messaging, and Peakon. This role partners with HR, Payroll, Benefits, Finance, Accounting and IT stakeholders to maintain data integrity, resolve user and process issues, support releases, and deliver system enhancements aligned to HR operations.

Key Responsibilities
  • Administer and configure Workday HCM and module functionality (Payroll, Benefits, Time Tracking, Recruiting, Advanced Compensation, Talent Optimization, Messaging, Peakon), including business processes, condition rules, validations, notifications, and tenant settings.
  • Maintain Workday security (roles, domains, business process security policies, user-based security) and support user provisioning, access troubleshooting, and periodic audits/access reviews.
  • Support Payroll and Time Tracking operations by troubleshooting pay-impacting issues, coordinating retro/corrections workflows, and partnering with Payroll to validate configuration changes through testing.
  • Support Benefits administration activities (enrollments, life events, eligibility, provider feeds troubleshooting in partnership with integration teams/vendors) and help ensure data accuracy between Workday and vendors.
  • Support Recruiting processes and configuration, including job requisition workflows, candidate and offer processes, security/access, and reporting; troubleshoot end-user issues.
  • Administer Advanced Compensation and Talent Optimization configuration and annual cycle support (eligibility, guidelines, worksheets, reviews, and analytics/reporting) in partnership with HR/Comp leaders.
  • Support Employee/Manager communications through Workday Messaging and partner with HR stakeholders to configure, test, and publish messaging campaigns where applicable.
  • Support Peakon administration (user access, org structure alignment, data loads where applicable, and reporting) and coordinate with HR leaders on survey cadence changes and issue triage.
  • Develop and maintain Workday reporting and dashboards (custom reports, calculated fields, and report sharing/security) to meet HR and business needs.
  • Execute data loads and mass updates using EIB/imports; perform data validation and reconciliations to ensure accuracy and completeness.
  • Support Workday releases by reviewing release impacts, coordinating regression/UAT testing with stakeholders, updating configuration as needed, and communicating changes.
  • Monitor and troubleshoot tenant issues (business process exceptions, security access problems, data discrepancies, integration-related errors) and escalate/coordinate with Workday, vendors, or internal teams as needed.
  • Document configurations, procedures, test scripts, and change controls; maintain system runbooks and knowledge articles.
  • Provide Tier 2 support to HR Operations/HRIS, including ticket intake, root-cause analysis, and end-user guidance and training on Workday best practices.
Required Qualifications
  • Bachelor's degree in HR, Information Systems, Business, or a related field (or equivalent practical experience).
  • 5+ years of Workday administration/HRIS experience with hands-on configuration and production support.
  • Experience supporting multiple Workday functional areas such as Payroll, Benefits, Time Tracking, Recruiting, or Compensation.
  • Working knowledge of Workday business processes, security concepts, and the Workday data model.
  • Experience building or maintaining reports (custom reports and calculated fields) and using data to troubleshoot issues.
  • Experience performing data loads/mass updates using EIB (and/or similar Workday load tools) with attention to data quality.
  • Strong analytical, organizational, and communication skills; ability to manage multiple priorities and collaborate with technical and non-technical stakeholders.
Preferred Qualifications
  • Workday training and/or certification (e.g., Workday Pro) in HCM, Security, Reporting, Payroll, Benefits, Time Tracking, Recruiting, or Compensation.
  • Experience supporting Advanced Compensation cycles and/or Talent Optimization processes (performance, goals, talent reviews) in Workday.
  • Experience supporting Workday Messaging and/or Peakon administration (including stakeholder communications and reporting).
  • Experience partnering with integration resources on vendor/provider feeds and inbound/outbound interfaces; familiarity with Core Connectors, Studio, or file-based integrations (SFTP, CSV/XML).
  • Experience supporting audits, access reviews, and controls related to HR/payroll data privacy and compliance (e.g., SOX concepts where applicable).
  • Experience with Agile delivery methods and change management (documentation, communications, training, and UAT).
Knowledge, Skills, and Abilities
  • Strong understanding of HR processes and the employee lifecycle (hire-to-retire).
  • Ability to diagnose issues using data, logs, reports, and business process analysis; propose options with risks/impacts.
  • Attention to detail and commitment to data quality, security, and user experience.
  • Strong documentation skills (processes, configuration, test scripts, release notes, and knowledge articles).
  • Professional communication skills and ability to influence without authority.
