Description

The Part-Time Receptionist serves as the first point of contact for visitors, customers, vendors, and employees. This role is responsible for creating a welcoming environment by answering incoming phone calls, greeting visitors, and providing general administrative support. The Receptionist may also assist the Executive Administrative Assistant, Human Resources, and other departments with projects and administrative tasks as needed.


Scheduled Hours:

  • Mondays: 7:30 a.m. - 4:30 p.m.
  • Fridays: 7:30 a.m. - 2:00 p.m.
  • Approximately 14-15 hours per week (potential to add more)

Essential Functions, Duties, and Responsibilities

  • Answer and direct incoming phone calls in a professional and courteous manner.
  • Welcome visitors, customers, and vendors, and direct them to the appropriate team member or department.
  • Receive, sort, and distribute mail, packages, and deliveries.
  • Maintain the reception area to ensure it remains clean, organized, and welcoming.
  • Assist with data entry, filing, scanning, document preparation, and other administrative tasks.
  • Provide support for Human Resources activities and projects as needed.
  • Assist the Executive Administrative Assistant with administrative duties, creation or collaboration on presentations, and special projects.
  • Help coordinate company events, employee activities, and internal communications as requested.
  • Build and maintain positive relationships with internal and external stakeholders.
  • Handle sensitive information with discretion and maintain confidentiality.
  • Perform other administrative duties as assigned.
  • Work in a safe manner and follow all company safety rules and regulations.

Requirements

  • High school diploma or equivalent required.
  • Previous customer service, receptionist, administrative, or office support experience preferred.
  • Excellent phone etiquette and customer service skills.
  • Friendly, professional, and approachable demeanor.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize responsibilities.
  • Proficient in Microsoft Office applications, including Outlook, Word, PowerPoint, and Excel.
  • Strong verbal and written communication skills.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Reliable attendance and dependability.

Physical Demands and Work Environment

While performing the duties of this administrative position, the employee is regularly required to sit, talk, see, and hear. The employee may occasionally need to stand, walk, stoop, kneel, or reach with hands and arms. The employee may occasionally lift and/or move up to 20 pounds. The work environment is typically an office setting with low to moderate noise levels.
