As a Department Support Assistant, you will provide compassionate assistance and exemplary service to our patients as they interact with the Cancer Care Center. You will provide reception and secretarial support for the department. You will develop and maintain positive relationships with our patients, guests, other team members, and medical staff by striving for excellence in service and quality. For our Team Members, this is more than a career - it's a calling.
You will be responsible for:
  • Operating a variety of office equipment, such as a personal computer, printer, photocopier, facsimile, scanner, or calculator. Progressively utilizing the feature of one or more standard business software packages up to the following skill level:
    • Word Processing: Performs sorts, merges, and prints mass mailings; selects font attributes and changes.
    • Spreadsheets: Designs routine spreadsheets, sets up routine formulas, prints desired sections.
    • Data Base: Sets up new database files and recommends screen improvements.
  • Preparing monthly reports, maintaining Time and Attendance records for the department, maintaining Staff History Maintenance, taking minutes for departmental staff meetings and distributing to staff in a timely manner.
  • Scanning orders into the Electronic Medical record, preparing orders for the next day, and making copies for required areas.
  • Arranging daily mail in priority order and other printed information as required and distributing as appropriate.
  • Scheduling, re-scheduling, and cancelling appointments as requested. Preparing daily schedules for the patients as needed.
  • Answering e-mails and correcting coding errors from the Business Office.
  • Coordinating with other administrative, maintenance, and clerical team members throughout the Health System to accomplish routine activities such as ordering supplies, obtaining approvals, and arranging for word processing, document duplication, equipment repair, or travel advances.
  • Receiving direct instruction and following prescribed procedures. Work is only occasionally reviewed. Activities are routine and may be repetitive.
  • Answering the phone and accurately directing calls.

What you will need:
  • High school graduate or equivalent.
  • Minimum of five years secretarial or scheduling experience preferred.
  • Must possess computer word processing and spread sheet proficiency and excellent organizational skills with records management.
