Now Hiring: Fact Witness Coordinator

Federal Agency Contractor Position
Contract: Base Year with Two Option Years
 

We are seeking a detail-oriented Fact Witness Coordinator to provide administrative and witness management support for a Federal agency in Knoxville, Tennessee. The ideal candidate will have a legal or administrative background, excellent organizational skills, and the ability to work professionally with attorneys, court personnel, law enforcement agencies, and members of the public.

Position Summary

The Fact Witness Coordinator provides comprehensive witness management assistance before, during, and after court proceedings. This role serves as the primary point of contact for fact witnesses, ensuring they receive the information, travel arrangements, and support necessary to appear for court proceedings, pre-trial conferences, grand jury appearances, and other legal matters.

Essential Duties and Responsibilities

Witness Coordination

  • Serve as the primary point of contact for fact witnesses by answering phone calls, responding to inquiries, and assisting visitors.
  • Coordinate witness appearances for court proceedings, pre-trial conferences, and grand jury hearings.
  • Gather and maintain required documentation for witness files.
  • Arrange witness travel, lodging, and reimbursement in accordance with Department of Justice and U.S. Attorney's Office policies.
  • Notify witnesses of appearance dates, times, travel arrangements, and special instructions.
  • Identify special witness circumstances and coordinate with Assistant U.S. Attorneys (AUSAs) as appropriate.
  • Process documentation for special authorizations involving international witnesses, military personnel, federal employees, or other unique situations.
  • Meet witnesses upon arrival, provide courtroom orientation, accompany them to court when needed, and ensure appropriate waiting accommodations.
  • Prepare, process, and reconcile witness reimbursement vouchers and related travel documentation.

Administrative Support

  • Coordinate with courts, U.S. Marshals Service, Probation, Pretrial Services, investigative agencies, and other government partners.
  • Prepare correspondence, reports, and recurring legal documents following established formats and procedures.
  • Draft routine communications requiring knowledge of legal terminology and witness management procedures.

Records Management

  • Establish, maintain, and organize witness files, databases, and records.
  • Maintain accurate documentation of witness activity and travel.
  • Ensure confidentiality and accuracy of sensitive legal information.
  • Perform general office and administrative duties in support of the witness management program.

Qualifications

  • Legal, paralegal, criminal justice, or related administrative experience preferred.
  • Experience working in a law office, court system, government agency, or professional office environment is highly desirable.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities and meet strict deadlines.
  • Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
  • Ability to interact professionally with attorneys, court personnel, law enforcement agencies, and the public.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
