Customer Support Will Call Representative

We are seeking a dependable, customer-focused Customer Support Will Call Representative to provide exceptional service and support to both our customers and Team Members from the Will Call desk.

This position plays an important role in ensuring orders are processed accurately, customer needs are addressed promptly, and issues are resolved efficiently. The ideal candidate is organized, detail-oriented, professional, and comfortable working in a fast-paced environment with frequent interruptions and competing priorities.

Compensation & Schedule

  • Pay: $21.00โ€“$25.00 per hour
  • Schedule: Mondayโ€“Friday, 7:00AM - 3:30PM
  • Additional holiday availability may occasionally be required based on business needs.

Responsibilities
  • Provide friendly, professional, and responsive customer service to internal and external customers.
  • Accurately and efficiently enter customer orders using computer-based order entry systems.
  • Take and process phone orders for customer, sales representative, and vendor pickup.
  • Respond to customer and Team Member questions and work proactively to resolve order-related issues.
  • Notify customers and Team Members of product substitutions, out-of-stock items, and other order changes.
  • Track order shipments and provide updates as needed.
  • Work closely with vendors, brokers, and Sales Team Members to support sales opportunities, samples, and special-delivery products.
  • Participate in Customer Service Survey calls and help identify opportunities to improve the customer experience.
  • Provide call support during market recalls, including coordinating product pickup, credits, and required documentation with customers, Team Members, and the QIA department.
  • Process credit memos, invoices, and receipts while working to resolve discrepancies and order problems.
  • Reconcile daily receivables and prepare daily deposit slips for cash and checks received.
  • Support other customer service functions as needed.
  • Maintain accurate records and documentation.
  • Perform other duties as assigned.
Qualifications
  • High school diploma or equivalent required; college education or equivalent experience preferred.
  • Minimum of two years of customer service experience, preferably in a professional office environment.
  • Experience in food service, restaurant operations, wholesale, or distribution is preferred.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and excellent organizational and prioritization skills.
  • Intermediate computer and data-entry skills, including Microsoft Word, Excel, 10-Key, telephone systems, and Microsoft Teams.
  • Ability to learn and work effectively across multiple software platforms.
  • Strong problem-solving and basic mathematical skills.
  • Ability to work independently while also contributing effectively as part of a team.
  • Ability to manage multiple tasks, prioritize responsibilities, and meet deadlines in a fast-paced environment.
  • Ability to remain focused and accurate while working with frequent interruptions.
  • Professional, positive, and customer-focused approach.
  • Ability to understand and respond effectively to the needs of both internal and external customers.
  • Ability to communicate effectively and professionally in interpersonal situations.
