Job Role Summary

WIC Clinic Assistant is responsible for performing clerical duties and clinical duties relative to certification of individuals for the Women, Infant, and Children Supplemental Food Program (WIC). This position is responsible for making appointments, determines income and residential eligibility, lab work, which includes height, weight, and iron and leads checks, prepares monthly statistical and other reports on clinic activity, explains and interprets Federal, State, and local regulations to applicants.

Essential Duties
  • Serves as a receptionist for the WIC clinic by checking clients in; giving them the appropriate paper-work to complete and assisting in the lab completing height, weight, finger sticks for hemoglobin and lead screening ย and issuing benefits on the EBT-Card.ย 
  • Schedules clinic appointments and maintains appropriate records; makes phone calls to remind participants about appointments.ย 
  • Determines income and residential eligibility of participants.ย 
  • Operates clinic personal computer for benefit insurance.ย 
  • Receives incoming calls and provides information or relays message as necessary.ย 
  • Responsible for maintenance of inventory levels and security of program materials and files at assigned clinic.ย 
  • Responsible for replenishing EBT-WIC cards at assigned clinic.ย 
  • Refers participants to other agencies as appropriate for assistance.ย 
  • Participates in community education activities as outreach for WIC.ย 
  • Lead classes under direction of WIC Nutritionist/CPA lead in clinic.ย 
  • Responsible for covering Call Center shifts at Rockville Rd. WIC.
  • Complete grocery store audits.
  • Staff Farmer's Market events. Distribute Farmer's Market vouchers to the community.ย 
  • Positively promote breastfeeding and support effort in clinic to educate and encourage participants to breastfeed.ย 
  • Maintain confidentiality of all client records and information as specified by the Health Insurance Portability and Accountability Act of 1996.ย 
  • Trained at the appropriate National Incident Management System (NIMS) and Incident Command System (ICS) level.ย 
  • Participate in public health emergency preparedness exercises and in the response to public health emergencies, as directed.ย 
  • Participates in a minimum of two H.O.P.E. events totaling a minimum of eight (8) hours annually.ย 
  • Other duties as assigned.ย 
Associated Job Duties
  • Incorporate a Participant Centered Services (PCS) approach.
  • Maintains confidentiality of participant information based on program and Marion County Public Health Department policies and procedures.
  • Transports participants information between clinic sites and WIC administration following HIPPA policies and procedures.
  • Operate office equipment, especially computers, and scanner.
  • Effectively interpret Indiana WIC policies and procedures.
  • Picking up Supplies/clinic mail.
  • Facilitate and or attend group class.
  • Referrals to community agencies and external organizations to obtain/provide information and services.
  • Be flexible to changing work duties and priorities.
Qualifications
  • Completion of high school, GED or equivalence; 6 month-1 year of clerical experience in health care setting with public contact is beneficial but not mandatory.
  • Access to personal transportation.
Licenses/Certifications Required
  • Valid Indiana driver's license.
Knowledge, Skills & Abilities
  • Communicate tactfully/pleasantly with public.
  • Work effectively under pressure of patient volume.
  • Effectively organize and carry out work responsibilities.
  • Work effectively with clinic team and other health care professionals and community health care agencies to exchange information concerning program clients.
Working Environment
  • Travel required between various program locations.
  • Exposure to communicable illness and disease due to direct and frequent client contact.
  • Some physical lifting and carrying supplies, walking and standing.
