Job description

CIVANA Wellness Receptionist

CIVANA's mission is to inspire mindfully, measurably greater wellness in all who crave it. The CIVANA model is shaped by a wellness philosophy that serves everyone: happiness first, healthiness always. This is delivered via a curated wellness program that focuses on connecting mental, physical, emotional and spiritual needs, providing guests with tools they can take with them wherever they go, and build upon each time they return.

We are seeking passionate, service-oriented, positive, and hard-working individuals with a love for health and wellness, and an excitement for spa and hospitality.

This is a full time position. The pay is $17/hour.

You would also be part of one tip gratitude pool at the spa. We need open availability, all shifts, between the hours of 7:30am - 9:00pm, all days of the week for this role, including weekends + holidays.

Job Summary

The receptionist is responsible for checking in guests, scheduling and rearranging appointments as necessary for guests, as well as acting as a liaison between guests and other departments of the resort when necessary. The Receptionist must provide quality customer service, and be willing to learn about various services offered as well as all computer programs. This person must perform a variety of daily tasks to keep the front desk functioning.

Essential Functions:
  1. Perform check-in procedures on a daily basis.
  2. Become proficient in Book4Time for operational needs
  3. Monitor current status of coupon, discount, and other promotional programs.
  4. Process guest charges and credit card vouchers.
  5. Verify all account postings and balances.
  6. Answer guest requests, ensure requests are passed on to proper departments, and follow up to ensure request has been resolved.
  7. Transfer charges and deposits to master accounts.
  8. Ensure daily shift checklists are complete.
  9. Stay informed of all Spa services offered at Civana Carefree.
  10. Ensure guest accounts are accurate and credit information is up-to-date.
  11. Cross train in other spa and retail front of house positions
  12. Inform management of any guest situations that come up daily.
  13. Communicate changes regarding guest accounts to all areas that may be affected throughout the resort.
  14. Must maintain a professional and friendly appearance and attitude at all times.
  15. Will assist guests in all areas of scheduling spa appointments in person and over the phone.
  16. Responsible for running daily reports.
  17. Maintain and balance cash bank at the end of every shift
  18. Adhere to given schedule
  19. Adhere to all policies and procedures as stated in the employee handbook
Qualifications

  • Must know how to operate printers and various other office equipment.
  • Must be able to prioritize tasks and handle multiple tasks simultaneously.

Education and/or Experience
  • High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
  • Prefer one-year office or other area of customer service experience.
Language Skills
  • Using the English language, have the ability to read and interpret documents, such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of guests or employees of organizations.
  • English is required to communicate with guests and management. Must possess the ability to present the Mission of Civana Carefree as in the handbook, verbally and with body language.
  • Must speak quietly and in a clear, concise, and confident manner to guests and employees.
Reasoning Ability
  • Must possess good decision making ability with regard to guest issues that arise in the moment - without management supervision
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, diagram, or diagram form. Ability to deal with problems involving several concrete variables in standard situations.
