Automotive Service Estimator / Dispatcher

Job Overview:

As an Automotive Estimator / Dispatcher with Christian Brothers Automotive, you will play a critical role in our automotive shop, ensuring that every guest receives top-notch service and their vehicle is repaired to the highest standards. With your excellent communication and organizational skills, you will coordinate with technicians, answer guest inquiries, and maintain an organized repair log to ensure maximum productivity and efficiency.

As an Estimator/Dispatcher, you will also work closely with part supply vendors and other external partners to ensure that we always have the right tools and equipment to get the job done right. As part of our team, you'll have the opportunity to build lasting relationships with our vendors and guests, helping us maintain our reputation as a trusted and reliable automotive shop.

Responsibilities include, but are not limited to:

  • Implements and maintains an effective dispatch system
  • Schedules work to facilitate maximum productivity in accordance with the shop policy and distributes service tickets to technicians, considering the workload, difficulty, and our guest needs
  • Reviews all digital vehicle inspections by technicians
  • Maintains an organized and up-to-date repair log
  • Answers customer inquiries and prepares estimates for our guests
  • Present the best solution to properly repair our customer's vehicles in a way that is easy for them to understand
  • Ensure that all work is performed to proper specifications and within the time promised to the guest
  • Build relationships with part supply vendors, tool vendors, and all external vendors effectively
  • Prioritize technician workloads with part availability
  • Manages the complete parts process, including ordering, receiving, verification, staging, inventory control, pricing, returns, and warranty claims
  • Stages and organizes parts for technicians to ensure workflow efficiency and minimize downtime
  • Prepares a list of needed service department equipment, supplies, and required repairs - reviews service department repairs with the Service Manager
  • Coordinates and schedules maintenance for shop equipment
  • Responsible for the part supply process, including inventory, pricing, returns, warranty claims, etc.
  • Regularly interacts with external vendors on parts inventory and pricing
  • Works together as a team and assists other employees as needed
  • Other duties as assigned
Qualifications

Qualifications:

  • Excellent communication skills: Must be able to communicate clearly and effectively with technicians, guest, and other team members to ensure that everyone is on the same page
  • Commercial Parts Experience
  • Demonstrates a strong team-player mindset with the ability to collaborate effectively in a fast-paced shop environment
  • Maintains a positive, professional attitude and contributes to a productive workplace culture
  • Proven guest service and customer relations experience with the ability to build trust and clearly communicate recommendations
  • Prior automotive industry experience required; service advising, estimating, or shop operations experience preferredStrong organizational skills with the ability to manage multiple priorities and deadlines
  • Ability to communicate effectively with technicians, vendors, and guests
  • Detail-oriented with solid problem-solving skills
  • Strong organizational skills and problem-solving skills: Estimators/Dispatchers are responsible for coordinating multiple work orders, scheduling appointments, and managing paperwork. They must be highly organized to ensure that everything is completed accurately and on time
  • Customer service skills: Must have strong customer service skills to answer customer inquiries, address concerns, and ensure that customers are satisfied with the work that is performed on their vehicles
  • Proficient in Windows-based computer software and automotive store applications
  • Previous experience in an Automotive Sales, Advisor/Writer, or Estimator/Dispatcher position preferred

Physical Requirements:

  • Being dependable and reliable for a position that is scheduled for Monday - Friday, 7am - 6pm
  • Being on your feet the majority of the workday (standing, walking, coordinating parts, etc.)
  • Occasionally lifting and carrying objects over 50 lbs.
  • Keeping a brisk work pace in a high-volume environment
