Position Overview

Join our team as a Care Coordinator who contributes to the success of a high-performing organization committed to delivering superior care and exceptional service. Performs a range of administrative and customer service tasks, providing valuable support to the hospital. Within the veterinary field, this position aligns closely with roles often titled Veterinary Receptionist, Customer Service Representative, or Client Care Specialist.
Diablo View Veterinary Hospital in Pleasant Hill, CA is a canine and feline only practice. We handle our patients gently and provide excellent customer care. Our veterinarians love medicine and enjoy collaborating on cases with all of the staff. We practice advanced diagnostics and anesthesia care. Join our team!

Key Responsibilities

  • Provides excellent customer service in-person, over the phone, and during high-stress situations.
  • Manages lobby flow, addresses concerns, calms distressed owners, and schedules appointments.
  • Handles basic medical emergencies for pets and owners, ensuring safety and well-being.
  • Assists with medication pickups, inquiries, and provides information about services and products.
  • Inputs and manages data in practice management software, including billing and accounts.
  • Assists with retail sales, weighing pets, processing faxes, and maintaining records.
  • Reconciles cash drawer and performs end-of-day duties for accurate financial transactions.

Qualifications (Required)

  • High school diploma or GED required, or equivalent combination of education, certification, training, and/or experience
  • Knowledge of clerical procedures and ability to organize files and records
  • Excellent customer service skills, providing courteous and prompt assistance
  • Accurate cash handling and cashiering abilities
  • Strong multitasking skills with attention to detail
  • Flexibility in scheduling, including weekends and holidays
  • Ability to work at a keyboard or workstation for extended periods and perform physical tasks such as standing, walking, climbing, and lifting animals up to 50 pounds

Preferred Skills (Nice to Have)

  • Previous experience working in a veterinary hospital or animal care setting.
  • Knowledge of veterinary terminology, medications, and common procedures.
  • Experience using veterinary practice management software (e.g., CoVet, Avimark, Cornerstone, ezyVet).
  • Familiarity with pet insurance processes and claims.
  • Experience coordinating appointments, referrals, and medical records.
  • Customer service experience in a healthcare or veterinary environment.
  • Ability to educate clients on preventive care, treatment plans, and wellness programs.
  • Experience handling difficult or emotional client situations with empathy and professionalism.
  • Basic understanding of laboratory diagnostics and radiology services.
  • Bilingual or multilingual communication skills.
  • Experience training or mentoring team members.
  • Associate's or bachelor's degree in animal science, veterinary technology, business administration, or a related field.
  • Certified Veterinary Assistant (CVA) or Registered Veterinary Technician (RVT) credentials (if applicable).
  • Passion for client education and enhancing the patient experience.

Schedule: Monday 8AM-5PM, Tuesday-Friday 8AM-6PM
