Job description

We are looking for a Procurement Specialist to support purchasing operations for a mission-driven non-profit organization in Austin, Texas. This role focuses on coordinating procurement documentation, evaluating suppliers, and helping maintain accurate purchasing records within Costpoint. The ideal candidate brings sound judgment, attention to detail, and the ability to work effectively with vendors and internal stakeholders to keep procurement activities compliant and efficient.
Responsibilities:
• Evaluate prospective suppliers, compare options, and help identify sourcing arrangements that align with organizational needs.
• Prepare, review, and enter purchase orders and related procurement records in Costpoint with a high level of accuracy.
• Examine subcontractor timesheets, vendor quotes, invoices, and supporting documentation to confirm completeness and adherence to purchasing requirements.
• Build and maintain productive vendor relationships, including communication around billing issues, payment terms, and order status.
• Investigate invoice mismatches, resolve discrepancies with internal teams and suppliers, and recommend measures to reduce repeat issues.
• Stay current on procurement rules, contractual obligations, and applicable regulations to support compliant purchasing practices.
• Assist the senior purchasing lead with daily procurement activities and provide backup support when coverage is needed.
• Help maintain purchasing procedures and documentation standards that promote consistency, accountability, and audit readiness.

• Bachelor’s degree in business, public administration, or a related field; relevant procurement experience may be considered in place of formal education on a year-for-year basis.

• At least 2 years of experience in procurement, purchase order processing, accounts payable workflow, or a closely related function.

• Working knowledge of purchasing operations, supplier coordination, and document review within a structured business environment.

• Ability to verify invoice accuracy, match documentation to purchase orders, and resolve issues with strong attention to detail.

• Familiarity with procurement compliance requirements, policies, and internal controls.

• Certified Purchasing credential or willingness to obtain certification within 12 months of start date.

• Experience in a government contracting setting is preferred.
