We are seeking an experienced, highly organized, and proactive Weekend Staffing & Operations Coordinator to oversee weekend operations across multiple residential homes.
This is a leadership position designed for someone capable of independently coordinating staffing, residential operations, resident programming, logistics, transportation, and emergency response while supporting Residential Supervisors and ensuring uninterrupted care throughout the weekend.
POSITION SUMMARY
The Weekend Staffing & Operations Coordinator serves as the primary operational leader during assigned weekend hours.
This individual is responsible for coordinating weekend staffing, supporting residential operations, ensuring staffing ratio compliance, coordinating resident activities, overseeing transportation logistics, responding to emergencies, verifying overnight staffing, and ensuring that every Compassionate Living Home resident receives safe, uninterrupted, person-centered care.
This position serves as the communication and operational hub for all assigned homes during weekends.
ESSENTIAL RESPONSIBILITIES
Staffing Operations
• Coordinate staffing across all assigned CILA homes.
• Ensure all homes maintain required staffing ratios.
• Respond immediately to employee call-offs and staffing emergencies.
• Fill open shifts using approved staffing procedures.
• Coordinate approved overtime coverage when necessary.
• Maintain and update emergency staffing lists.
• Coordinate staffing adjustments throughout the day.
• Monitor attendance and punctuality.
• Maintain weekend staffing documentation.
Weekend Operations Management
• Coordinate daily operations across multiple residential homes.
• Support Residential Supervisors with operational issues.
• Monitor weekend workflow.
• Resolve operational concerns promptly.
• Coordinate communication among all homes.
• Ensure continuity of resident care.
• Assist leadership with operational priorities.
Resident Programs & Activities
Coordinate and oversee all weekend resident activities including:
• Community outings
• Shopping trips
• Recreational activities
• Religious services
• Family visits
• Park outings
• Restaurant visits
• Movies
• Holiday events
• Educational and leisure activities
Ensure:
• Adequate staffing for all outings.
• Activities comply with Individual Service Plans (ISPs).
• Transportation is coordinated.
• Required supplies and documentation are available.
• Residents actively participate in meaningful programming.
Transportation & Logistics Coordination
• Coordinate all weekend transportation needs.
• Assign company vehicles.
• Coordinate drivers.
• Monitor vehicle availability.
• Coordinate community outings.
• Coordinate medical transportation.
• Ensure transportation schedules remain on time.
• Resolve transportation issues promptly.
Medical & Resident Services Coordination
• Coordinate weekend medical appointments.
• Monitor urgent resident needs.
• Coordinate communication with nursing staff.
• Assist with medication-related logistics.
• Escalate urgent concerns appropriately.
Overnight Staffing Verification
During the required on-call period (9:30 PM–11:30 PM), the Weekend Staffing & Operations Coordinator shall:
• Personally contact every employee scheduled for the 11:00 PM–7:00 AM shift.
• Verify attendance and estimated arrival times.
• Identify employees at risk of calling off or arriving late.
• Immediately activate the backup staffing process whenever necessary.
• Contact approved backup employees and overtime volunteers.
• Ensure every overnight position is covered before the shift begins.
• Verify all overnight staff have physically reported to their assigned homes.
• Complete overnight staffing documentation before concluding the on-call period.
Communication
Maintain professional communication with:
• Residential Supervisors

MINIMUM QUALIFICATIONS
Education
One of the following is required:
• Bachelor's degree in Healthcare Administration, Human Services, Social Work, Psychology, Nursing, Business Administration, Operations Management, Logistics Management, or a related field;
OR
• Associate degree with a minimum of three (3) years of progressively responsible leadership experience in healthcare, CILA, residential operations, staffing coordination, logistics, or human services;
OR
• High school diploma or GED with a minimum of five (5) years of demonstrated leadership experience in CILA operations, residential services, healthcare operations, staffing coordination, logistics coordination, or comparable operational leadership.
REQUIRED EXPERIENCE
Candidates must possess a well-rounded operational background and demonstrate experience coordinating people, programs, logistics, and daily operations.
Successful candidates should possess experience in several of the following areas:
• Staffing coordination and workforce scheduling.
• Residential operations within a CILA, healthcare, assisted living, behavioral health, human services, or comparable residential environment.
• Coordinating daily operations across multiple locations or departments.
• Coordinating resident activities, community integration programs, recreational programming, or event planning.
• Transportation and logistics coordination, including vehicle scheduling, driver assignments, appointment scheduling, and community outings.
• Supervising or coordinating DSPs, caregivers, CNAs, residential staff, volunteers, or multidisciplinary teams.
• Managing multiple priorities simultaneously while maintaining resident safety and regulatory compliance.
• Responding effectively to staffing emergencies, operational disruptions, and crisis situations.
• Working collaboratively with Residential Supervisors, QIDPs, nursing staff, guardians, transportation providers, and community partners.
• Preparing operational reports, staffing summaries, activity reports, incident documentation, and management communications.
Preference will be given to candidates with prior leadership experience in CILA, developmental disability services, residential care, healthcare operations, behavioral health, social services, logistics coordination, hospitality operations, or comparable multi-site operational environments.
