Job description

Title: Patient Receptionist / Registration / Scheduler

Location: Waukesha, WI

Full/Part Time: Full Time

Hours/Schedule: 40 hours/week, Monday through Friday. No nights or weekends.

Job Duties:

Front Desk Responsibilities

Open and close clinic as assigned

Greet and check in patients in a professional, welcoming manner

Complete pre-registration; verify demographics and insurance information

Obtain required patient signatures and documentation

Prepare patient charts and ensure readiness for upcoming clinic days

Facilitate patient flow and communicate delays as needed

Distribute glasses and contact lens prescriptions and schedule follow-up appointments at checkout

Collect copays and patient balances; process daily cash drawer reconciliation

Maintain a clean, organized reception and waiting area

Central Scheduling & Call Center Responsibilities

Answer incoming calls from a high-volume call queue

Schedule, reschedule, and cancel appointments for multiple providers and locations

Manage patient wait lists

Provide appointment details, directions, and provider information

Perform light scheduling-related clinical triage and route urgent concerns appropriately

Monitor and process multiple Epic work queues

Process and schedule non-surgical referrals in Epic, including patient outreach and documentation

Retrieve and distribute faxes in a timely manner to support patient care

Qualifications:

Education: High school graduate.

Experience: Healthcare experience preferred.
