Job description

JOB SUMMARY:

A Dispatcher is responsible for efficiently and effectively coordinating and dispatching chauffeurs and service vehicles to appropriate locations according to host or guests' requests or instructions.  Dispatchers will display courtesy and professionalism when relaying work orders, messages, and information to and from chauffeurs, Hosts, Butlers, VIP Services, and Sales to ensure all guest needs are met and ensure a seamless transportation experience.

All duties are to be performed in accordance with departmental, property, and corporate policies, practices, and procedures.

ESSENTIAL JOB FUNCTIONS:  

  • Adhere to all policies and procedures of the Hotel Transportation and Casino Services Department.
  • Provide positive service standards including but not limited to courtesy, sincerity, and enthusiasm.
  • Answer phone calls, emails, and text messages to assist with host requests and guest needs.
  • Track flights to ensure chauffeurs are on location on time for airport pickups.
  • Monitor ride board constantly and dispatch chauffeurs on rides at the appropriate times.
  • Communicate via 2-way radios and/or cellular phones with chauffeurs.
  • Assist chauffeurs with guest and host requests while en route to or from the property.
  • Communicate with other departments such as VIP, Butlers, and Casino Marketing to ensure all pertinent information is shared with all to ensure a seamless transportation experience.
  • Other duties may include receiving emergency and non-emergency calls, monitoring driver logs, keeping records, and addressing guest escalations.
  • Maintain a clean and safe working area.
  • Perform other duties and responsibilities as requested

QUALIFICATIONS:  

Required:

  • Previous experience dispatching in high pace environment or equivalent experience in a Luxury Hotel setting.
  • Customer service-oriented mindset
  • Ability to multitask and communicate professionally and effectively while doing so.
  • Ability to work efficiently, independently and cohesively, consistently producing quality results.

Preferred:

  • Previous experience with LMS, Outlook and flight tracking apps such as Flightview or Flight Aware
  • High school diploma preferred.
  • Minimum age requirement is 18.

Critical Competencies:

  • Must possess basic computer skills and knowledge of operating Windows specific to position responsibilities.
  • Effective communication via phone, radio, or email.
  • Must be able to complete standard forms and reports.

Language Skills:

  • Ability to read and understand all policies and procedures.
  • Must be able to communicate effectively with guests, employees, and members of management in English, specific to position duties and responsibilities.

Physical, Mental, & Environmental Demands

  • Must be able to work flexible hours, including evenings and weekends.
  • Fast-paced environment, multiple tasks to be handled under time constraints. 
  • Must be able to handle heavy business volume, and sensitive situations relating to a team member, candidate, and guest problems, in a timely manner.
  • Must be able to tolerate areas containing secondhand smoke.
  • Must be able to lift and carry 30 pounds.
  • Must be able to bend, crouch, kneel, twist, and work at a desk/counter when performing functions of the job.
  • Respond to visual and aural cues.
  • Must have manual dexterity to operate all office equipment.
  • Must be able to recognize and respond to individuals with questions.
  • Must be able to maneuver around office and property.
