Job description

Essential Job Functions:
โ€ข Type, file and distribute correspondence as directed.
โ€ข Answer telephone, make appointments, run errands, take and deliver messages, etc., as directed.
โ€ข Sort, distribute, and route incoming mail to appropriate residents, departments, and/or
personnel.
โ€ข Maintains postage meter in facility.
โ€ข Orders supplies and schedules repairs and maintenance for all office machines.
โ€ข Type letters, reports, statements, minutes of meetings, agendas, etc., as necessary/directed.
โ€ข Maintain files and other records as directed.
โ€ข Receive and screen office visitors and telephone calls as necessary.
โ€ข Perform admitting, reception, telephone and/or switchboard duties as necessary/directed.
โ€ข Perform unscheduled administrative task as directed.
โ€ข Serve as secretary to various committees of the facility as necessary/directed.
โ€ข Other related duties and responsibilities that may become necessary to meet the needs of the
facility.
Qualifications:
โ€ข Must possess, at a minimum, a high school diploma or equivalent.
โ€ข Must be able to read, write, speak, and understand the English language.
โ€ข Must possess the ability to make independent decisions when circumstances warrant such action.
โ€ข Must possess the ability to deal tactfully with personnel, residents, visitors and the general
public.
โ€ข Must possess the ability to work harmoniously with other personnel.
โ€ข Must be able to follow written and oral instructions.
โ€ข Must have patience, tact, cheerful disposition and enthusiasm, as well as to be willing to handle
residents, staff and visitors based on whatever maturity level they are currently functioning.
โ€ข Must be knowledgeable in secretarial duties, use of equipment, etc., related to secretarial
functions.
Physical Requirements and Working Conditions:
Will meet all physical requirements of the position as identified by the facility policies and procedures
related to functional job analysis.
