General Equipment & Supply is seeking a detail-oriented and organized Freight Billing Clerk to support our logistics, transportation, and accounting operations. This role is responsible for ensuring the accurate processing of freight invoices, maintaining billing records, and collaborating with internal departments to resolve discrepancies. Position Summary

The Freight Billing Clerk is responsible for processing freight-related invoices, auditing shipping documentation, verifying billing accuracy, and supporting freight payment functions. This position works closely with operations, purchasing, customer service, carriers, and accounting personnel to ensure timely and accurate billing practices.

Essential Duties and Responsibilities

  • Review, audit, and process freight invoices for accuracy and completeness.
  • Generate customer invoices and ensure timely billing of freight charges.
  • Verify shipping documentation, including Bills of Lading (BOLs), freight receipts, and carrier invoices.
  • Research and resolve billing discrepancies with carriers, vendors, customers, and internal departments.
  • Maintain accurate billing records and supporting documentation.
  • Reconcile freight charges and validate rates against approved contracts and agreements.
  • Assist with month-end reporting, recordkeeping, and accounting support activities.
  • Communicate effectively with carriers, vendors, and internal stakeholders regarding billing-related issues.
  • Support continuous improvement efforts related to freight and billing processes.
  • Perform additional administrative and accounting-related duties as assigned.

Required Qualifications

  • High school diploma or equivalent required; associate degree in Business, Accounting, Logistics, or related field preferred.
  • Minimum of 3-5 years of experience in freight billing, transportation, logistics, accounting, or a related administrative role.
  • Knowledge of freight terminology, shipping documentation, and Bills of Lading (BOLs).
  • Experience working with transportation management systems (TMS), ERP systems, or accounting software.
  • Strong attention to detail with the ability to identify and resolve discrepancies.
  • Proficiency in Microsoft Office applications, particularly Excel.
  • Excellent organizational, communication, and problem-solving skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Ability to maintain confidentiality and handle sensitive financial information.

Preferred Qualifications

  • Experience with LTL, FTL, parcel, or intermodal freight operations.
  • Knowledge of freight auditing, freight payment processes, and carrier rate structures.
  • Experience in distribution, construction equipment, industrial supply, or warehouse environments.
  • Familiarity with inventory, receiving, and shipping operations.
  • Understanding of basic accounting principles and accounts payable processes.
