Role Overview

The Internal Events Assistant assists with planning, coordinating, and executing a comprehensive portfolio of internal events that strengthen employee engagement, foster an inclusive culture, and build community across the organization. This role assists with events supporting heritage months and DEI initiatives, staff morale, celebration and recognition programs, community engagement efforts, and firmwide communications events such as town halls and retreats. 

Responsibilities

  • Assists with executing various internal events, including heritage month and DEI programming, employee appreciation and morale events, such as holiday celebrations, happy hours and other social events, community engagement activities, retirements, birthdays, anniversaries, and firmwide meetings such as town halls or leadership retreats.
  • Distributes invitations, tracks responses, prepares meeting agendas and nametags (if applicable), creates site/catering/audiovisual reservations, prepares handout materials, assists with registration (both onsite and virtually) and helps with implementation of event follow-up.
  • Assists with maintaining event calendars, processes documentation, and reporting materials.
  • Provides on-site event coordination as needed, including evening or occasional weekend events.
  • Serve as an additional point of contact for internal event logistics, including venue selection/conference rooms, catering, audiovisual support, transportation, accessibility, and safety considerations.
  • Collaborates with internal stakeholders, including Talent/HR teams, Community and Belonging, Marketing, Communications, and leadership, to align events with organizational values, strategic goals, and cultural priorities. 
  • Incorporates inclusive, culturally responsive, and accessible practices into all events, ensuring a welcoming experience for all employees.  

Qualifications

  • Bachelor’s degree in event management, communications, hospitality, or a related field, or equivalent professional experience.
  • One to three years demonstrated experience assisting with the coordination of internal or corporate events with multiple stakeholders, keynote speakers, sourcing vendors, in a law firm or other professional services environment, and large and small internal events, such as happy hours, holiday and staff morale events, and other social functions.
  • Demonstrated proficiency in Microsoft Office software including meeting platforms such as Microsoft teams, Zoom, etc. and the ability to learn the systems and databases used by the firm.
  • Experience supporting DEI-focused programming or employee engagement initiatives.
  • Strong sense of urgency and excellent customer service skills.
  • Ability to work well without direct supervision.
  • Must have the ability to work well under pressure, meet frequent deadlines, and prioritize multiple tasks.
  • Excellent presentation and organizational skills with strong attention to detail and accuracy; ability to efficiently handle multiple tasks.
  • Excellent oral and written communication (including spelling and grammar) and interpersonal skills including professional interaction with all levels of personnel are required.
  • Flexible attitude and the ability to deal well with changing assignments and priorities; willingness to learn and acquire advanced duties and provide support to varied office members.
  • Ability to be a self-starter, while also comfortable taking direction from others.
  • Ability and willingness to work overtime when necessary.
  • Willingness to be a team player on all department projects.

The role is based in our Washington, DC office. This position is primarily office-based, with regular on-site presence required for events. Occasional evening or weekend work is expected to support scheduled programs and firm events. The base annual pay range for this role is between $60,000 to $65,000, hourly equivalent is $30.77 - $33.34. The base pay to be offered will vary and depend on skills and qualifications, experience, location and will also take into account internal equity. A full range of medical, financial and/or other benefits dependent on the position will also be offered.
