Executive Assistant To Executive Vice Presidents

This role will serve as the executive assistant to several executive vice presidents (EVPs) who lead ITW's operating segments along with members of their segment leadership teams. The successful candidate will have proven experience as a key administrative partner to an executive leader(s) with a demonstrated ability to develop collaborative relationships within the team and across the organization. This position requires strong written and verbal communication skills, service-orientation, strong initiative, analytical thinking and skills, attention to detail, and solid organizational skills.

Primary Responsibilities:

  • Support segment EVPs and segment leadership in all related administrative tasks, and the business operating leadership events including bi-weekly, monthly, and quarterly staff and segment meetings, etc.
  • Produce correspondence, presentations, meeting agendas, and emails. Handle highly confidential and sensitive information.
  • Effective and efficient partnership with the EVPs in multi-faceting meeting/conference coordination & planning.
  • Manage multiple complex calendars, including scheduling in-person and virtual meetings.
  • Coordinate domestic and international travel itineraries.
  • Process monthly executive expense reports via Concur.
  • Establish and maintain files/file systems.
  • Work in cooperation and collaboration with other colleagues, occasionally helping with work overload and covering during absences.
  • Manage segment's sports ticket assignments for customer outings/events (Bears, Bulls, Blackhawks & Cubs).
  • Other projects and duties assigned by manager.

Required Skills and Experience:

  • 8+ years of experience in supporting senior-level leaders in a mid to large sized organization is required.
  • Experience in a corporate environment is required.
  • Attention to detail and proven ability to multitask and prioritize effectively.
  • Coordinate and triage complex international travel plans for executives.
  • Ability to work 5 days a week in the Glenview office with flexibility in hours.
  • Highly proficient in using office software (e.g., Microsoft Office Suite, SharePoint, Concur).
  • Experience handling highly sensitive information with integrity and maintaining a high level of confidentiality and professionalism.
  • Strong problem-solving skills and thorough attention to detail.
  • Ability to be proactive and work independently and as part of a team in a fast-paced environment.
  • Demonstrate a sense of urgency and ability to prioritize, working within tight timelines, and strong time management skills.
  • Experience in coordinating both domestic and international travel; Concur experience a plus.
  • Meet deadlines promptly as instructed.

Compensation Information:

The compensation package for the role offers a competitive base salary ranging from $90k - $100k annually. ITW considers various factors when extending an offer, including but not limited to the scope and responsibilities of the position, the candidate's work experience, education and training, geographic location, key skills, as well as market and business considerations. In addition to a competitive salary, ITW employees in the U.S. are eligible for a comprehensive benefits package.
