FLSA STATUS: Exempt

SUPERVISION RECEIVED: Executive Director of Conference and Event Management

SUPERVISION EXERCISED: Student Workers: Haupert Union Conference Assistants

POSITION SUMMARY: The Assistant/Associate Director of Conference and Event Management coordinates and executes special programs and undergraduate recruitment events designed to engage external partners, including prospective students, families, school counselors, and community organizations. Additionally this role works closely with the partnership office to finalize logistics related to conferences, special events, and the summer use of residence halls across the Moravian University campuses to support external stakeholders.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

Event Execution & Management

  • Lead the execution and coordination of special programs and undergraduate recruitment events designed to engage prospective students and external partners.
  • Partner with the Admissions team to support campus events, bridging the division of Student Life with the Admissions team.
  • Serve as the primary point of contact for the partnership office to execute the logistical vision for external groups, including camps, conferences, and meetings.
  • Provide in-person leadership and assistance for major institutional events, including Commencement and Heritage Day.

Logistics, Systems, & Supervision

  • Assist with managing and tracking event related budgets , ensuring accurate forecasting, and expense tracking.
  • Collaborate with internal campus departments-including Catering, Campus Police, Facilities, Marketing, and Event Technology -utilizing campus systems and workflows (e.g., 25Live, DocuSign, Google Workspace).
  • Utilize Salesforce (CRM) to manage attendee registration pipelines, monitor daily/weekly attendance trends, and generate accurate post-event show-rate reports
  • Recruit, train, supervise, and evaluate student conference assistants.
  • Track and report event performance metrics to measure program effectiveness and monitor progress toward strategic institutional goals.
  • Direct the physical preparation and inventory logistics for all events, ensuring the printing of specialized academic materials, wayfinding signage, and the assembly/packing of custom event materials and emergency supply bins.

Operational Expectations & Scope

  • Provide hands-on, on-campus event support and serve in an "on-call" capacity throughout the summer conference season.
  • Maintain flexibility to work evening and weekend hours as required by the event calendar.
  • Complete other duties as assigned.

QUALIFICATIONS: Bachelor's degree required.

PREFERRED QUALIFICATIONS: Experience in conference services, student staff supervision, leadership development, or community engagement within a university setting. Experience working with higher education CRMs (e.g., Salesforce), scheduling software (e.g., 25Live), or data tracking platforms.Exceptional conflict resolution skills and a demonstrated commitment to student learning. Ability to maintain highly collaborative, professional relationships with students, parents, faculty, campus administrators, and external partners. A proactive mindset with a willingness to take on additional leadership responsibilities based on previous experience and evolving institutional needs.
