The Weekend Experience Admin will work diligently to keep the team organized and informed by providing exemplary administrative support, assistance and encouragement. What You'll Be Doing
  • Serve as the first point of contact for Portal Requests and enter/assign tasks in Asana for Worship, Video, and Production
  • Manage and print weekly service materials (service orders, scripts, run sheets, signage, etc.)
  • Assist in managing the ministry team calendar and scheduling, including eSpace reservations and de-conflicting rooms and resources in collaboration with other ministries as needed
  • Process receipts, purchases, invoices, petty cash, mileage, and related documentation
  • Prepare and restock the Green Room; maintain cleanliness and supplies in the Communications Office
  • Oversee Green Room volunteer team and ensure we have breakfast for each Sunday service
  • Enter weekly volunteer check-ins across Weekend Experience serving teams
  • Assist in ordering items needed for creative elements and other programming needs for Sunday Sermons, Night of Worship, and other events and gatherings as directed by the Weekend Experience Coordinator
  • Assist with special services and ministry events (meals, supply pick-ups, quick-turn needs).
  • Retrieve packages and distribute materials as needed
  • Actively participate in creative and programming meetings
  • Edit and proof creative team documents and plans before printing

Guest Services Support
  • Prepare and print weekly Guest Services resources, huddle notes, and volunteer confirmations
  • Assemble new volunteer welcome kits (apparel, badges, coach handoff, recognition pins).
  • Maintain volunteer records and follow-up steps (onboarding progress, background checks, 3โ€‘week follow-up reports to coaches)
  • Track and order Guest Services supplies and apparel, including parking team gear; keep storage and rooms tidy
  • Support volunteer care rhythms (thankโ€‘you cards, scheduling coach 1:1s)
  • Submit and track eSpace requests, signage, and facility needs for GS events and environments
  • Provide administrative support for GS special events and large weekend experiences

General
  • Assist pastors/directors with receipts and budget monitoring
  • Perform general office duties such as copying, filing, mailing, etc.
  • Answer / return phone calls and emails as requested
  • Purchase items for ministry as needed as directed by the Weekend Experience Coordinator
  • Organize workflow and synchronize between Google Docs and Rock
  • Respond to all general ministry questions, both internally and externally, via phone and email
  • Run errands as needed
  • Other related duties as needed

What You'll Bring To The Team
  • Minimum Education: High School Diploma
  • Minimum Experience: Two years in professional administrative role
  • Demonstrates strong technology experience (Gmail, Google Docs, Google Sheets, Planning Center Online, Asana, Slack, Rock, etc.)
  • Preferred Experience: Three years in an equivalent church setting or non-profit organization
  • Must pass a pre-employment background check
  • Proof of legal authorization to work in the United States
