Job Description:ย The Administrative Assistant for Communications supports the daily operations of the Communications Department while serving as a liaison between the Communications Office and internal and external stakeholders. The job ensures the clear and timely dissemination of information, the coordination of events and initiatives, and the maintenance of communication platforms that support engagement with students, staff, families, and the community.

Reports To: Executive Director of Communications

Location: District Office

Position Summary:ย The Administrative Assistant for Communications provides quality administrative and organizational support to the Communications Department. This position plays a critical role in ensuring the efficient operation of district communications by coordinating schedules, managing departmental workflows, supporting content distribution and creation, and assisting with internal and external district and school communications initiatives. The role requires professionalism, strong attention to detail, and the ability to manage multiple priorities happening within the department.

Key Responsibilities:

  • Provide direct administrative support to the Executive Director of Communications, including calendar management, meeting coordination, and correspondence.
  • Serve as the Communications Department's central point of contact, responding to inquiries and routing requests appropriately.
  • Assist in the preparation, editing, and distribution of district communications, including press releases, newsletters, social media content, and internal and external messaging.
  • Coordinate logistics for events, board meetings, and community engagement initiatives.
  • Maintain organized records of communications materials, media contacts, and departmental files.
  • Support website updates and content management, ensuring timely and accurate information is published.
  • Monitor and track media coverage and assist with compiling reports and analytics related to communication efforts.
  • Process purchase orders, invoices, and budget-related documentation for the department.
  • Assist with crisis communication logistics, including coordinating materials and distributing communications as directed.
  • Collaborate with schools and departments to support communication needs and ensure alignment with district messaging.
  • Maintain confidentiality of sensitive information and exercise sound judgment in all communications.
  • Perform other duties as assigned by the Executive Director of Communications.

Qualifications:

  • High school diploma or equivalent required; associate's or bachelor's degree in marketing, communications, business administration, or a related field preferred.
  • Minimum of 23 years of administrative support experience, preferably in a school district, public sector, or communications environment.
  • Experience supporting senior-level administrators or executives preferred.

Knowledge, Skills, and Abilities:

  • Strong written and verbal communication skills with the ability to draft and edit professional communications.
  • Exceptional organizational skills and attention to detail.
  • Ability to manage multiple tasks, prioritize effectively, and meet deadlines
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with Google Workspace tools.
  • Experience with website content management systems and social media platforms preferred.
