Overview

Position Type Part Time Job Shift Day Shift

Description

The main functions of this position are to greet people arriving at the facility, answer the telephone, perform various tasks, assist in the daily operation of the facility along with all other duties as assigned. Maintains records, files, and verifies information, assists in payroll data entry, building administration backup and performs clerical support and receptionist duties as assigned. This job assignment will be scheduled to work every other weekend.

Essential Duties:

  • Responsible for warmly and courteously greeting all visitors, residents, agencies, and associates arriving at the residence
  • Answer and direct all incoming calls in accordance with company practices and guidance
  • Takes messages from callers and ensures their delivery when required
  • Assist Sales Director with compiling information on competitor rates and services as directed
  • Prepare and mail newsletters and introductory material for mailing list members.
  • Assist Executive Director/Administrator with staffing process to include placing employment ads, taking applications, and background checking
  • Collect information on vendors, ancillary services, and activities offered in the community for resource directories.
  • Prepare and forward copies of administrative materials that are needed by the Resident Director
  • Assist Sales Director in maintaining proper inventory of marketing materials as needed
  • Assist Executive Director/Administration in maintaining administrative files for compliance with regulations and company policy
  • Assist Executive Director/Admin in maintaining full and accurate sets of policies and procedures, forms and operating manuals.
  • Prepare and maintain residence report books and assist in flow of required communication to home office
  • Reports any resident or visitor concerns to the Executive Director/Administrator in a timely and professional manner

Education/Experience:

  • High school diploma or GED required.
  • Requires prior experience in a host/hostess, receptionist, or administrative role
  • Prefer experience with Microsoft Office to include Word and Excel
  • Resident care philosophy with a focus on providing the highest level of quality service and professional interaction
