Position Summary
The Front Desk Administrator serves as the first point of contact for visitors, clients, vendors, and employees, creating a professional and welcoming experience while ensuring efficient day-to-day office operations. This role is responsible for managing front desk activities, administrative support, office coordination, and communication functions to help maintain an organized and productive work environment.
Key Responsibilities
Front Desk & Reception
• Greet and assist visitors, clients, and employees in a professional and courteous manner.
• Answer, screen, and direct incoming phone calls and emails to the appropriate personnel.
• Maintain visitor logs, issue visitor badges, and ensure adherence to office security procedures.
• Coordinate conference room scheduling and visitor accommodations.
• Manage incoming and outgoing mail, packages, and deliveries.
Administrative Support
• Provide administrative support to leadership and various departments as needed.
• Prepare, format, and distribute correspondence, reports, presentations, and other business documents as needed.
• Maintain electronic and physical filing systems to ensure accurate recordkeeping.
• Assist with data entry, document management, and report generation.
• Schedule meetings, appointments, and company events.
Office Operations
• Monitor and maintain office supplies inventory; coordinate ordering and restocking as needed.
• Serve as the initial point of contact for vendors, service providers, and facility-related requests.
• Coordinate office maintenance and ensure common areas remain organized and presentable.
• Support onboarding needs for new employees, including workspace preparation and administrative documentation.
• Assist with travel arrangements and expense reporting when required.
Customer Service & Communication
• Respond to routine inquiries and direct requests to the appropriate team members with a sense of urgency and proactivity.

Qualifications
