Job description

This position combines Customer Relationship Management with essential administrative support in a fast-paced agricultural environment. The Admin/CSR Representative at a flower farm/nursery will ensure sales orders are processed accurately, while providing product advice (Flowers) to customers, managing inventory and fostering relationships with retail &" wholesale customers. This is a Vendor Management position assisting with customer service, ordering, inventory, and invoicing (billing).
You must speak Spanish and English clearly, and have good communication skills.

Job Summary
The Admin and Customer Service Representative will act as the primary point of contact for clients, managing the full sales cycle from inquiry to delivery. This role requires a blend of horticultural knowledge (we will train you on this), exceptional organizational skills, and a proactive customer service approach to drive revenue growth while maintaining accurate records and customer databases.
Key Responsibilities
Customer Relationship Management

  • Customer Engagement: Respond promptly to customer inquiries, bids, and orders via email, phone, or in-person, providing expert advice on plant selection and care.
  • Vendor Management: Actively identify, cultivate, and manage new business opportunities while nurturing existing customer relationships.
  • Order Processing: Accurately prepare sales orders, invoices, and contracts, ensuring smooth, accurate, and timely completion.
  • On-Site Sales/Support: Spend time in the nursery/field to check plant quality, take photos for clients, and check availability.
Administrative & Operational Support
  • Inventory Management: Maintain, update, and monitor inventory levels, ensuring plant availability is accurately communicated to the team and customers.
  • Data & Records: Perform data entry, maintain detailed records, and manage CRM systems to track sales performance and client communication.
  • Logistics & Scheduling: Coordinate with production and logistics staff to schedule deliveries, order collections, and handle shipping logistics.
  • Financial Administration: Support accounting, billing, and payment processing (cash, credit cards, or credit accounts).
Required Qualifications & Skills
  • Experience: 2-5+ years of experience in sales, customer service, or administration, preferably within the horticultural, nursery, or agricultural, construction or industrial industry.
  • Horticultural Knowledge: Strong understanding of plant materials, hardscapes, plant care, and seasonal availability preferred.
  • Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, Outlook), Point-of-Sale (POS) systems, and CRM software.
  • Communication: Excellent verbal and written communication skills for building rapport with professional landscapers and retail customers.
  • Physical Ability: Ability to work in a nursery environment, which may involve walking, standing, and lifting (up to 20-30 lbs.).
Preferred Qualifications
  • Background in horticulture, landscape management, or agribusiness.
  • Experience with QuickBooks or other accounting software.
  • Experience with social media management or basic website updating.
Working Environment
  • This role may require both office-based administrative work and time spent in greenhouses, outdoor nursery yards.
  • Ability to work in varying outdoor temperatures and conditions periodically.
  • Weekend and holiday work may be required during peak seasons.
