Wedding Helper information

What is a wedding helper?

Wedding helpers are individuals who assist with various tasks before, during, and after a wedding to ensure the event runs smoothly. Their responsibilities can include setting up decorations, helping with seating arrangements, coordinating with vendors, managing the timeline, and assisting guests. They may work alongside wedding planners or independently, depending on the size and needs of the event. Wedding helpers play a crucial role in reducing stress for the couple and their families by handling logistical details.

Wedding Helpers typically assist with physical tasks like setup and teardown during the wedding day, often with minimal credentials. Wedding Coordinators handle the overall planning, organization, and management of the event, usually requiring experience or certification. Both roles are essential in the wedding industry but serve different functions during the wedding process.

What are the main responsibilities of a wedding helper on the day of the event?

As a Wedding Helper, your core responsibilities typically include assisting with venue setup, helping vendors with deliveries, managing the seating arrangement, and providing support to the couple and their families. You may be asked to help coordinate the timeline, guide guests, or handle unexpected issues to ensure the day runs smoothly. Collaboration is key, as you’ll often work closely with wedding planners, caterers, decorators, and other staff to create a seamless experience for everyone involved.

What are the key skills and qualifications needed to thrive as a wedding helper, and why are they important?

To thrive as a Wedding Helper, you need strong organizational abilities, attention to detail, and customer service skills, often supported by experience in event planning or hospitality. Familiarity with scheduling software, communication tools, and basic event setup equipment is typically required. Excellent interpersonal skills, adaptability, and the ability to remain calm under pressure help Wedding Helpers stand out. These skills ensure smooth event execution, guest satisfaction, and effective support for the wedding coordinator and vendors.

The Event Operations & Sales Lead serves as a key member of The Ground's Events team, providing hands-on support for event execution, client service, and sales coordination. This role is ideal for an experienced event professional who thrives in fast-paced environments, enjoys both client-facing and operational work, and can confidently manage event logistics from final preparation through day-of execution.

The primary focus of this role is ensuring exceptional event experiences through onsite event management and operational support. During non-event hours, this individual will assist the Sales & Events team with client communication, event coordination, and administrative sales support.

Responsibilities

  • Serve as on-site Event Lead for weddings, corporate events, social gatherings, and catered events, as assigned
  • Act as the primary point of contact for clients, vendors, and event staff during event execution
  • Manage event timelines, logistics, and day-of problem solving to ensure a seamless guest experience
  • Conduct event walkthroughs and pre-event preparations
  • Coordinate event setup, service flow, and breakdown activities
  • Participate in event setup, room resets, breakdown, and other operational tasks as needed, leading by example and supporting the event team throughout execution.
  • Ensure all event details are executed according to contracts, EOs, and client expectations
  • Support off-site catering events as needed, including load-in, setup, service oversight, and strike

Sales & Client Support

  • Assist with responding to client inquiries and ongoing communication with active leads
  • Follow up on proposals, contracts, and event details as directed by the Sales & Events team
  • Support event planning and coordination for booked clients
  • Help maintain accurate event records, timelines, and client information within event management systems
  • Provide timely responses to client questions and requests
  • Assist with venue tours and client meetings, as needed

Team & Operational Support

  • Communicate event staffing needs and operational requirements to appropriate team members
  • Coordinate with vendors and internal departments to support successful event execution
  • Assist with maintaining event equipment, supplies, and inventory organization
  • Support development and refinement of event operating procedures
  • Perform other duties as assigned to support the Events and Hospitality teams

Qualifications

  • 3+ years of event management, venue operations, hospitality, catering, or wedding/event planning experience
  • Demonstrated experience independently managing events and serving as the onsite lead
  • Strong customer service and client relationship skills
  • Exceptional organizational and communication abilities
  • Ability to remain calm, professional, and solutions-oriented in dynamic event environments
  • Experience with event management software; TripleSeat experience preferred
  • Experience with Toast or other POS systems preferred
  • Ability to work independently while collaborating effectively with a team
  • Flexible schedule, including evenings, weekends, and occasional holidays
  • Reliable transportation and valid driver's license

Physical Requirements

  • Ability to stand and walk for extended periods
  • Ability to lift and carry up to 35 pounds regularly
  • Ability to work both indoors and outdoors in varying weather conditions

Schedule

15-30 hours/week, depending on seasonality. This position may be structured as either:

  • A part-time employee position with a flexible schedule based on event needs, or
  • An independent contractor role supporting events and sales coordination on an as-needed basis.

Hours will vary based on seasonality and event volume and may include evenings, weekends, and occasional weekdays.
