We are seeking a detail-oriented, creative, and highly organized Events & Design Intern to support our team with event logistics and graphic design projects. This role is ideal for someone who enjoys both behind-the-scenes coordination and creative work, and who is eager to gain hands-on experience in event execution and brand design.


You will play a key role in ensuring our events run smoothly while also contributing to visual materials that elevate our brand presence year-round.

Key Responsibilities:
Event Operations & Logistics (Primary Focus During Event Season):

  • Help maintain event timelines, checklists, and internal documentation.

  • Support fulfillment of sponsorship benefits (tracking deliverables, coordinating assets, confirming placements).

  • Coordinate and manage event shipments (packing materials, shipping to/from venues, tracking deliveries).

  • Organize event materials and maintain and replenish inventory of supplies.

  • Assist with exhibitor and vendor communications as needed.

  • Support on-site event setup and breakdown (if applicable).

  • Support with webinar planning and execution as needed.

Graphic Design & Digital Marketing Support:

  • Design conference-related materials (e.g., brochure ads, signage, digital slides, handouts).

  • Create branded downloadable PDFs, one-pagers, and other marketing collateral.

  • Develop graphics and visuals for social media posts.

  • Design and build marketing emails in HubSpot.

  • Design and update HubSpot landing pages for events, campaigns, and resource downloads.

  • Ensure emails and landing pages align with brand standards and follow basic UX best practices.

  • Format and update presentations and marketing collateral.

  • Prepare files for print and coordinate revisions as needed.

  • Make quick-turn edits and updates to existing assets.

Qualifications:

  • Currently pursuing (or recently completed) a degree in Marketing, Graphic Design, or a related field.

  • Strong organizational skills and high attention to detail.

  • Clear written communication skills.

  • Self-starter who is proactive and dependable.

  • Ability to manage multiple projects and meet deadlines.

  • Proficiency in Canva and Adobe Creative Suite (especially InDesign, Illustrator, or Photoshop), or similar design tools.

  • Experience designing files for print production (e.g., brochures, signage, ads).

  • Experience designing digital assets (e.g., social graphics, email visuals, web graphics, downloadable resources).

  • Comfortable working in Microsoft Office (Word, Excel, PowerPoint, Outlook) or similar tools.

Preferred (But Not Required):

  • Prior event coordination/management experience.

  • Experience managing shipping logistics or vendor coordination.

  • Familiarity with HubSpot or other email marketing/CRM platforms.

  • Experience designing and building marketing emails or landing pages.

  • Familiarity with planning and supporting Zoom webinars (e.g., setup, registration pages, run-of-show coordination).
