Job description

Description Title: Student Services Specialist Position Number: 0097697T Hiring Unit: College of Education / Special Education Location: Manoa Date Posted: August 7, 2026 Closing date: August 24, 2026 Band: A Salary: salary schedules and placement information Full Time/Part Time: Full-time Temporary/Permanent: Temporary Other Conditions: Special funds. Appointment to begin September 2026 or soon thereafter. Renewal contingent upon satisfactory performance, department needs, and availability of funds.

Duties and Responsibilities: *Responsible for collecting and validating promissory notes, issuing stipends, and monitoring student compliance with program requirements. *Design, generate, and synthesize print content for recruitment marketing campaigns in compliance with program objectives to be disseminated to prospective students. Manage and ensure promotion through various media outlets, including newspaper, radio, web, and social media.

Assist with program assessment reports to UH Manoa and the College of Education assessment office. Participate in Special Education program activities that may be held before and after normal working hours, weekends and/or holidays and at some offsite locations. *Prepare and coordinate statewide faculty and student participation face-to-face travel requirements.

Ensure UH fiscal procedures for stipends are followed, while also collecting and organizing documentation, including tax and consent forms. Direct department admission procedures by coordinating admission paperwork, following up on status and evaluation, tracking progress, organizing interviews, etc. *Serve as the primary point of contact for approximately 100+ applicants as well as other departments associated with the admissions process.

Coordinate and implement new student procedures. Develop and disseminate information packets, communicate requirements, monitor and audit student progress, and assist with orientation. Process fiscal documents including purchase orders, mileage, travel and personal reimbursements ensuring conformity with University, State, and federal fiscal policies and procedures and propriety of expenditures.

*Facilitate and manage registration for new and continuing students by contacting advisors, tracking upcoming and previously completed courses, assigning CRNs, placing overrides, and contacting students. Hire and supervise student workers. Performs other duties as assigned.

* Denotes essential functions Minimum Qualifications: Possession of a baccalaureate degree in Education, Social Sciences, Natural Sciences or related field and 0 year(s) of progressively responsible professional experience with responsibilities for project management; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated. Functional knowledge of principles, practices and techniques in the area of administration/office management demonstrated by knowledge, understanding and ability to apply concepts, terminology. Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with student recruitment including creating digital recruitment material.

Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the area of course scheduling and registration in higher education. Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.

Demonstrated ability to operate a personal computer and apply word processing software. Familiarity with processing and maintaining standard financial documents, such as purchase orders, invoices, and travel reimbursements in a higher education setting. Ability to ensure financial documents comply with internal policies, procedures, and external regulations.

Functional knowledge of student recruitment, including creating digital recruitment material to be used for generating interest in programs and retaining current students. Ability to work before or after normal business hours including weekends and/or holidays. Ability to travel independently to various geographical locations in a timely manner.

Requirement may be fulfilled by a valid Hawaii Driver's license (class 3), comparable driver's license, or other means of transportation, which meets position needs. Desirable Qualifications: Familiarity with UH policies and procedures. Ability to multi-task and perform in a fast-paced environment.

Experience with RCUH, KFS, UHF, and eTravel systems. Experience with course scheduling and registration in higher education. Experience with supervising and/or training student assistants.
