Office Operations Manager - Waste & Environmental Services - Waste Pro - Fort Pierce, FL
Salary: $60,000 - $80,000 per year, commensurate with experience

At Waste Pro, our Office Manager is more than an administrative leader. This position plays a key role in keeping the entire division running smoothly by leading Customer Service, billing, accounts receivable, accounts payable, financial reporting, and office operations.
We are looking for a hands-on, organized, and confident leader who can manage people and processes, maintain strong financial controls, and partner closely with Operations, Sales, and division leadership.

What You'll Do
As the Office Manager, you will oversee the day-to-day administrative and financial functions of our Fort Pierce division while leading and developing the office and Customer Service teams.
Key Responsibilities
  • Lead and manage the division's Customer Service, billing, accounts receivable, accounts payable, and administrative functions
  • Supervise, train, coach, schedule, and develop office and Customer Service employees
  • Ensure accurate and timely customer billing, journal entries, deposits, and financial reporting
  • Oversee accounts receivable and collections and help improve cash flow and Days Sales Outstanding (DSO)
  • Review and approve accounts payable processing, coding, and supporting documentation
  • Prepare monthly revenue projections and provide reporting to division and regional leadership
  • Maintain strong financial controls and appropriate segregation of duties
  • Reconcile disposal invoices against internal dispatch and operating systems
  • Complete required franchise, monthly, quarterly, and other business reports
  • Partner with Sales on customer contract tracking, reporting, and account information
  • Assist division leadership with financial and operational analysis
  • Identify opportunities to improve office processes, accuracy, productivity, and customer service
  • Help ensure the office remains organized, responsive, and prepared to support a fast-paced operating environment

What We're Looking For
  • 2-4+ years of experience in office management, accounting, administrative operations, or a related leadership role
  • Strong working knowledge of billing, accounts receivable, accounts payable, and collections
  • Previous experience supervising, coaching, and developing employees
  • Strong organizational skills with excellent attention to detail
  • Ability to manage multiple priorities and deadlines in a fast-paced, high-volume environment
  • Strong written and verbal communication skills
  • Ability to work effectively with employees, customers, managers, and different personality types
  • Proficiency with Microsoft Excel, Word, and Outlook
  • Strong overall technology skills and the ability to learn multiple business systems
  • Ability to analyze information, identify issues, and follow through to resolution
  • A leadership style built around accountability, teamwork, and customer service

Work Environment
This is an office-based leadership position supporting a busy Waste Pro operating division. You will work closely with Operations, Sales, Finance, Customer Service, and regional leadership.
The successful candidate should be comfortable working in an environment where priorities can change quickly and where communication, follow-through, accuracy, and teamwork are essential.

This role requires frequent use of fine motor skills and hand-eye coordination, including keyboarding, operating office equipment, and driving, for the majority of the workday.

QUALIFICATIONS:
Education and Experience
* Prior office management experience is required.
* Accounting experience is required
* AA or AS Degree preferred
* Ability to maintain relationships with our customers, vendors, and co-workers while effectively communicating and resolving issues
* Ability to work in an organized manner
* Strong computer skills with the ability to learn new computer programs
* Ability to Maintain a professional atmosphere while working with Management, Corporate, and Local Staff
