Job description

Automotive Service Administrator / Warranty AdministratorPosition Overview:

DePaula Ford is seeking a detail-oriented and organized Automotive Service Administrator / Warranty Administrator to support our service department. This position is responsible for managing the warranty process from start to finish, ensuring technician documentation is accurate and properly coded, and submitting warranty claims for timely processing and payment.

The ideal candidate has automotive dealership experience, strong attention to detail, excellent organizational skills, and the ability to work closely with technicians, service advisors, and management.

Key Responsibilities:
  • Manage the dealership's warranty process and ensure claims are completed accurately and in a timely manner.
  • Review technician notes and repair documentation to ensure they are complete, accurate, and meet warranty requirements.
  • Properly tag and code technician notes and repair orders for warranty submission.
  • Verify that required documentation, labor operations, parts, and supporting information are included with warranty claims.
  • Monitor submitted claims and follow up on rejected, returned, or pending claims.
  • Make corrections to warranty claims as needed to ensure proper payment and minimize lost revenue.
  • Maintain accurate warranty records and documentation.
  • Communicate with technicians and service advisors regarding missing or incorrect information needed for warranty claims.
  • Help ensure warranty procedures and manufacturer requirements are followed consistently.
  • Provide administrative support to the Production Manager as needed.
  • Assist with tracking and organizing production-related information and department paperwork.
  • Support the overall efficiency and organization of the service department.
Qualifications:
  • Previous automotive dealership or service department experience preferred.
  • Experience with automotive warranty claims is strongly preferred.
  • Knowledge of technician repair orders, labor operations, and warranty procedures.
  • Strong attention to detail and accuracy.
  • Excellent organizational and time-management skills.
  • Ability to identify missing or incorrect information and follow through to resolution.
  • Strong communication and teamwork skills.
  • Comfortable working in a fast-paced automotive service environment.
  • Proficiency with computers and dealership/service management software.
  • Ability to work independently while also supporting the service and management teams.
